Purpose of the Grant Programs through GPSA

  • To promote excellence in graduate education at Arizona State University;
  • To recognize and support quality graduate student research;
  • To provide financial support for research projects that are not eligible for other sources of funding or for which funding is difficult to obtain;
  • To support the successful completion of research required for a graduate degree;
  • To provide graduate students with experience in developing and reviewing grant proposals; and
  • To build Arizona State University’s reputation as a leading research institution.

Graduate Research Support Program (GRSP)

Funding Source: Graduate College

Funding Levels: Terminal (thesis or dissertation): $2,000 Independent (distinct from thesis or dissertation): $750

Selection Criteria

Funded proposals will demonstrate:

Expenses: What is/is not allowed?

Allowable expenses.

  • Subject incentives (cash or equivalent is acceptable); consumable items (such as food)
  • Equipment rental
  • Materials and supplies
  • Professional services for data analysis, typing, transcription, and copying
  • Software packages (QuestionPro, NVivo, statistical analysis softwares, etc.)
  • Travel to research facilities to collect pertinent data or conduct research (NOT for JumpStart grants)
  • Per diem (meals) while in travel status (NOT for JumpStart)

Expenses that are NOT Allowed

  • Equipment purchases (no laptops, no camera, etc.)
  • Salaries and wages for research assistants, ASU affiliates or employees
  • Tuition or remuneration of time spent on project
  • Conference travel (except for undergraduate students on Athletics grant)
  • Terminal publication charges (e.g., binding/printing of thesis or dissertation)
  • Publication expenses (i.e., printing, editing, translation of dissertation, etc.)
  • Individual expenses cannot exceed $1,000
  • NO travel expenses allowed for JumpStart grant

We encourage applicants to not wait until the evening of the 1st to submit their application. ZoomGrants could overload at this time, which could delay the time of submission past the deadline (11:59 PM). GPSA is not responsible for such delays, and applications submitted after the deadline are not eligible for funding.

After you submit your application, all eligible applications will be reviewed by fellow graduate students.

Travel Funding FAQs

What funding opportunities does asu sponsor to fund my conference travel.

ASU sponsors two main venues for funding conference travel for graduate students who are in the Department of English:

  • The Graduate College Travel Awards: Graduate students may apply through the English Department for Travel Awards from ASU Graduate College with additional support from the Department of English for the purpose of presenting papers at scholarly conferences. Graduate College Travel Awards reimburse graduate students the cost of airfare (maximum $500). The Department of English will provide additional support (maximum $300) for lodging and registration fees. The Department of English may have additional funding to support student travel, but students must still follow the procedure outlined for Graduate Travel Awards. Check your email for further information.
  • The GPSA Travel Grant Program: GPSA is ASU’s Graduate and Professional Student Association. According to its website, the organization “ gives voice to graduate and professional students across ASU to promote success, inclusion, and vitality among the diverse communities we represent and serve .” Additionally, the website explains that the GPSA Travel Grant Program exists to support the academic and professional development endeavors of ASU graduate and professional students. The program offers five distinct grants funding costs associated with students' travel flight/mileage, transportation to/from the airport and a per diem for meals.

Where do I go to find the particular application requirements?

The process varies by award program:

  • The Graduate College Travel Awards: You apply for these awards through the English Department. Among the kinds of information required are an estimated expense list and a narration of the purpose of this trip, your level of participation at the conference, and how you will benefit from the trip. You will also be asked to attach supporting documents. See specific information in the quarterly emails about these awards from Sheila Luna , the Senior Program Manager for Graduate Studies in English at ASU.
  • GPSA Travel Grant Program: GPSA uses an interface called ZoomGrants. To apply for a grant through this program, you will provide an estimate of your travel expenses and a written narrative justifying them. To plan your application, Click here  New Application . Once through this portal, click on the grant program (travel or research) that applies to you. You can use the preview function to see the questions that the application requires you to answer and to prepare materials in advance of applying. Travel funding from GPSA can be found here . How do I know if I qualify for these travel awards?

Qualifications vary according to the award program:

  • The Graduate College Travel Awards: These are competitive grants with only two students from the department funded per cycle.In identifying nominees, the department gives priority to the type of conference (major conferences typically receive higher priority); status in program (those who are more advanced and presenting material directly from their dissertations typically receive higher priority); and type of presentation (individual papers and research-based posters may receive priority).  
  • GPSA Travel Program: To be eligible to apply for a grant, applicants must be current ASU graduate students (degree or non-degree seeking) enrolled in at least one graduate level credit at the time of application and at the time of travel. Travel must be directly related to applicant’s program of study. For a full menu of options and to see if you qualify, Click here for  funding information .

What’s the time frame?

For example, I have been accepted to present at a conference in November. How do I plan for travel funding application deadlines, and how will I be notified about these deadlines?

Schedules vary according to award program:

  • The Graduate College Travel Awards: These awards are scheduled 4 times a year, with internal deadlines in the Department of English in the early fall, late fall, late spring and early summer. Each deadline corresponds with conferences occurring within a given time frame (For example, August applications are for travel from October 1-Dec 31.) Application deadlines are announced regularly by email. If you have questions, contact Sheila Luna .
  • The GPSA Travel Program: For Individual Travel Grants (and this is the case for Group Travel Grants, Out-of-State Career Development Grants, and Out-of-State internships as well), each month constitutes a funding cycle. Applications for these grants are due on the 1st of every month, two months prior to the month of departure. Applicants may apply up to three months ahead of their departure date, but no more than three months and no less than two months ahead.

An experienced graduate student advises: -Pay attention to deadlines! All grants have different deadlines, and these are usually at least one month (but sometimes several months!) before your travel. There is usually not flexibility for missing these deadlines. If you don't submit your application on time, you will not be considered for funding. So don't miss the deadlines! -If you are not sure if you will know if you are accepted to a conference before the travel grant deadline, reach out to the conference and let them know about your funding opportunity. On two occasions, I received early notification of my acceptance to a conference so that I could meet travel grant deadlines, but only because I reached out to the conference organizers and let them know of my situation. 

What’s covered? How are funds dispersed?

Both programs work by reimbursement, so be sure to keep your receipts.

  • The Graduate College Travel Awards: Only expenses pertaining to airfare, hotel, and/or registration fees will be reimbursed. If you receive the award, upon your return, you will work directly with Courtney Wallen to create a Travel Expense Report no more than three business days after your return. You will receive instructions in an email.
  • GPSA Travel Program: Grants generally cover lodging, flight/mileage, and meals (per diem). You’ll use GPSA’s ZoomGrants app for reimbursement processing.

An experienced graduate student advises: -Know that all grants are reimbursements. You will need to submit receipts for your travel expenses after your travel event. -If you receive a grant, pay attention to communications and instructions about that grant. You will usually need to fill out some paperwork or start a reimbursement request before you leave, and then submit receipts when you return. If you miss these steps/deadlines, you may not be funded.

If I follow all the instructions provided, am I guaranteed funding?

No. All these awards are highly competitive.

An experienced graduate student advises: -If you don't receive a grant, don't take it personally. These grant programs often receive a ton of applications and aren't able to fund even some of the strongest applications. -Do ask for feedback. Some grant programs are happy to let you know what could have made your application stronger so you can improve future applications (for example, GPSA will provide feedback on request). 

If I don’t get funds from Graduate College, does that automatically disqualify me from receiving funds from the department?

If you are not nominated for the Graduate College Travel Award, the Department of English may be able to award you some funding for your conference trip—depending on funding availability.

An experienced graduate student advises: Anytime my application was not selected to be sent to The Graduate College, I received some funding from the Department for my travel - so always apply!). 

What can I do to increase the odds that I’ll receive funding?

Be sure to submit all the required documents, and to craft your application to address the criteria provided with the application.

  • The Graduate College Travel Award: The first level of review for this award is departmental. In addition to the application form required by the Graduate College, a copy of the conference acceptance email, a one-page summary that includes the purpose of the travel, justification such as the level of participation, and a copy of your paper proposal is also required.As, mentioned in a response to a previous question, the department gives priority to the type of conference (major conferences typically receive higher priority); status in program (those who are more advanced and presenting material directly from their dissertations typically receive higher priority); and type of presentation (individual papers and research-based posters may receive priority). 
  • The GPSA Travel Grant Program: Criteria include detailed description and significance of the travel; service within the community, ASU and/or GPSA; and a well-justified Travel Budget.

An experienced graduate student advises: Generally, [in my narrative justifying my application], I discuss how I will incorporate my learning from the conference in my teaching as a TA (in my specific classes that I'm teaching), in workshops as a GSEA board member, and in my conversations with colleagues. So, the student wants to demonstrate how they will benefit the larger community through their learning. 

Another experienced graduate student advises: -Take the application seriously. Take your time when completing travel grant applications. Answer all questions thoroughly. Funders want to know how this funding will benefit both you and ASU. Provide in-depth answers with specific examples when explaining how you will benefit from the travel and what you will bring back to the school. Check your application for spelling and grammar errors. -Be realistic and savvy with your budget expenses. You won't be funded for a first class flight. Show how you are being budget conscious - did you shop around for the cheapest flight? Take an earlier flight because it was less expensive? Pay registration early to avoid late fees? Are you staying in a cheaper hotel, using Airbnb, or staying with family (can't be reimbursed for staying with family, but does free up more funds towards your other expenses)? Include these details in your application.

With regards to GPSA awards in particular, what can I do to improve my chances of receiving a travel grant?

There are several ways that you can increase the competitiveness of your application—including volunteering to be a reviewer. For more information, click on link to view website for : funding and awards .

A graduate student advises: -Look for resources. Some grant sources (such as GPSA) provide rubrics and even information sessions about the grants - take advantage of these to make your applications as strong as possible. -Volunteer. Volunteer to be a grant reviewer for GPSA - it takes a minimal amount of time, it will help you learn how to strengthen your own applications, and it helps fill out the service section of your application. -Volunteer in the department - this can be for larger things like serving as a representative, or smaller commitments like writing articles for the newsletter. This will help you network, learn of more opportunities, and show you are invested in the department/school so they will invest more in you. 

Another experienced graduate student advises: When applying for a GPSA grant, I recommend the following: often, students are focused specifically on demonstrating how the conference will benefit them and what they have done to get into the conference and they discuss their research at length. While some discussion of their research is helpful, this matters less than other aspects of the application. Instead, it is important for students to demonstrate how ASU/the larger campus community will benefit from their attendance (and how, specifically, attending will help them achieve their academic/professional goals). They also want to spend time discussing their volunteer experience at ASU specifically (rather than in the community at large or prior to their current program), as well as how they are working to cut costs in their budget. It's therefore very important that if grad students want money from GPSA that they volunteer on campus in some capacity (and demonstrate the extent/nature of this volunteer experience in detail in their application). 

Are there ways to get experience presenting at professional conferences without expensive flights and hotel bills?

Talk to your advisor about how your conference plans and priorities can most strategically work with your research and writing, and with the career pathways you are building. Such plans might include some local conferences and/or lodging coordinated with colleagues who may be participating in the same conference. An experienced graduate student advises: Apply for several grants for the same conference. If you are accepted for more than one, you can coordinate funds to cover your expenses (or you can reapply for some of the funds for another travel event). Include the information that you've applied for other grants in the budget section of your applications - it strengthens your application if you can show you are seeking additional funding.

How do I go about planning to attend a conference when I don’t know if my funding request will be approved?

If you submitted a proposal and are waiting to hear whether it’s been accepted, apply for funding anyway, acknowledging this fact. If you simply want to attend a conference, funding may be limited. An experienced graduate student advises: For example, I received funding to present at the International Congress on Medieval Studies at Kalamazoo through the Arizona Center for Medieval and Renaissance Studies (ACMRS). Also, some conferences or associations offer graduate student awards - always check the conference websites for this information.

I am an ASU Online student in the Department of English. Am I eligible to apply for travel awards?

GPSA Individual Travel Grant

The GPSA Individual Travel Grant exists to support and promote the success of ASU graduate and professional student research and professional development by increasing ASU’s reputation as a Research Extensive Institution, promoting the ASU graduate and professional student community at large, and fostering opportunities for professional growth.

Eligibility

  • The GPSA Individual Travel Grant awarded from this program is used to support individual student travel to regional, national, and international conferences only that are directly related to students’ graduate programs of study or professional development.
  • Travel MUST be directly related to the applicant’s program of study.
  • Students are eligible to apply for several grants up to a maximum of $950 in individual travel grant funding per fiscal year (July 1 through June 30).
  • This program runs on a monthly cycle.
  • You must be a current ASU graduate student (degree or non-degree seeking) enrolled in at least one graduate-level credit at the time of application and time of travel (summer enrollment not required) to apply. Online students are now eligible for GPSA Travel Grant funding.
  • 4 + 1 Masters students are eligible for the travel grant in their +1 year
  • Funding is not guaranteed as applications are selected competitively.
  • The Travel Grant will cover costs of airfare, fuel/mileage if driving your own vehicle, ground transportation (taxi, shuttle services, trains, public transportation), hotels/lodging, meals, and event registration.
  • The cost of your meals can be calculated using the daily rate determined by ASU (per diem) for your destination. To determine this rate, visit here . For international rates click here .
  • In February 2019 the ASU Study Abroad office instituted a $3 a day charge for insurance on all student travel to locations outside the United States. Students will pay out of pocket and will be reimbursed from the GPSA grant when they submit an expense report. This fee counts towards the $950 total. When registering your trip please select the ‘Self Pay’ option when prompted.
  • The Travel Grant will NOT cover the cost of rental cars, phone calls, internet access charges, poster printing, or any expense prohibited by university policy. Expenses paid in cash are not reimbursable. Only pay with a credit card or check.
  • One-Way Fares: If you decide to purchase two one-way airfares instead of a round-trip fare, you will need to print a quote of a round-trip fare at the time your one-way fares were booked, in order to demonstrate to the ASU Travel Department that the round-trip fare is in fact more expensive.

Upcoming awards, grants and events from GPSA

First, GPSA announces the Spring 2019 Awards Program which recognizes graduate student excellence in teaching, research, advocacy and mentorship. The program also recognizes ASU faculty and staff who extensively support and contribute to the graduate student community. Excellence and service recognition through the GPSA Awards program is highly competitive and a prestigious accomplishment since all awards are peer-reviewed. Applications open January 14, 2019 . In addition, spring deadlines are quickly approaching for the ASU Graduate and Professional Student Association’s Jumpstart and Athletics Research Grants! All awards are available to any in-person student enrolled in at least one credit of graduate studies. These grants can be used for a variety of purposes including, but not limited to: equipment rental, materials and supplies, subject incentives and transcription services. Responsibility

  • It is the responsibility of the student applicant to submit an appeal for their application.
  • Faculty, Travel Coordinators, or other WSU members, friends, or family are not permitted to submit an appeal on behalf of the student applicant.
  • The GPSA Travel Grant Chair or their designee from the Grants Committee is responsible for the review of appeals and subsequent approval or denial. The GPSA President, including the Travel Grant Chair, may serve as a designee under extenuating circumstances deemed necessary by the Grants Committee. Travel and research grants are funded from graduate student fee money and Educational Outreach and Student Services (EOSS) funds from the university.

GPSA’s Office of Internal Affairs oversees both research and travel grant programs. This includes Vice President of Internal Affairs, Director of Travel, Assistant Director of Travel, Director of Research, and Director of Grant operations.

Applicants are notified no later than the 30th of the month they applied if not sooner.

GPSA does not offer travel advances. Travel grants are only available for reimbursement.

You can submit multiple applications as long as the sum total of the requested amount does not exceed the allowable maximum ($950).

No. Travel dates and locations cannot be changed after an application is approved.

Yes. In your application, you will need to describe the types of jobs you are applying for and your qualifications for those positions. You do not need to have any interviews scheduled at the time of application but you definitely need to provide scheduled interview documentation when requesting a trip in Concur.

Be specific and detailed in providing your answers. For example, provide a description of your service that lets the reviewers know the time commitment involved, the length of service, and how recently you’ve served. Remember your application will be judged by an interdisciplinary audience, so your responses should be accessible to people not in your field. Be sure your application is complete (Group, Interview, and Internship all require supplementary documentation).

Partnership and Exchange Program Participants 

If there is a specific foreign course you would like to complete on an ASU  Partnership or Exchange  program (or are currently taking on a Partnership or Exchange program) that is not currently published with a status of  In Process  or  Active  on the Global Education Office (GEO) website, you are required submit an online  Course Equivalency Request .

PLEASE NOTE:  ASU cannot process Course Equivalency Requests unless and until your provide  ALL  of the following information:

  • Course Equivalency Request Form  –  you may submit up to five (5) requests per form.  Detailed instructions on how to complete this form are available  here .
  • Course Syllabus  –  diplomas and/or certificates of completion are NOT accepted.   Make sure to review  this resource  for additional information on details on what must be included in a course syllabus.*

* Some foreign institutions do not provide course syllabi (e.g. some universities in France, Germany, Japan, and China).  Students who cannot provide a course syllabus will be expected to provide course materials to your GEO International Coordinator upon return.   You may submit Course Equivalency Requests at any time before, during or after your Global Education program.  However, you are expected to submit all Course Equivalency Requests within the first three weeks of your Global Education program (whichever comes first).  PLEASE NOTE:  It may take 1-2 months from the time a Course Equivalency Request is submitted for the ASU course equivalency to be approved and published on the Global Education Office website .

When will my Global Education grades appear on my ASU transcript?

The Global Education Office strives to post all program credits and grades by the end of the term following the Global Education program (e.g., spring semester grades should be posted by the conclusion of the following fall semester).  Students will receive a confirmation email from GEO when the study abroad credits/grades have been posted in the ASU system. Don’t forget that ASU cannot post your final study abroad credits and grades until: ASU course equivalencies have been established for all foreign courses taken while abroad, AND… GEO has received a final, official foreign transcript.

How do I check the status of my course equivalency requests?

You may check the status of your requests in the  My Study Abroad Courses  section of the  Transfer Credit Guide . To check the status of a Course Equivalency Request on the GEO website, please review the list of foreign courses for your program by clicking on the Course Info  tab on the top of the program brochure. Newly submitted Course Equivalency Requests will be added to this list, with a status of  In Process , within 7-10 business days from receipt of your request.    Once approved, the GEO will change the “Course Equivalency Approval Status” for the foreign course from  In Process  to  Active . PLEASE NOTE:   You will be notified by email when your request has been completed/approved.

How do I view pre-approved courses for my study abroad program? The ASU Global Education Office (GEO) publishes a list of pre-approved ASU course equivalencies for every Partnership and Exchange program on our website.

  • To view a list of pre-approved courses for a particular program , click on the  Course Info  tab at the top of the program brochure, then click the View Pre-Approved Courses  button. That link will direct you to a list of courses offered at the partner institution, along with information on any pre-approved ASU equivalencies for those courses.
  • Students are not required to submit Course Equivalency Requests for those foreign courses already published on our website with a “Course Equivalency Approval Status” of  In Process  or  Active  at the time of application, as long as the course in question has the same course title, code and credit value.

How long does this process take?

The time it takes to evaluate a course depends on a variety of factors. During high-volume periods (the summer and the weeks immediately prior to the start of a semester), evaluations take longer than two weeks. In an effort to minimize the time to evaluate your courses, please only submit your course request one time. If you have been notified that courses have been submitted for you, or if you need to provide updates, syllabi, or if you made errors if your original submission, please do not resubmit a request for evaluation. Instead, email  [email protected]  with updates or additional information. It may take 1-2 months from the time a Course Equivalency Request is submitted for the ASU course equivalency to be approved and published with a “Course Equivalency Approval Status” of  Active  on the Global Education Office (GEO) website.  To check on the status of a Course Equivalency Request that you’ve submitted, please review the  My Study Abroad Courses  section of the  Transfer Credit Guide . You will be notified of the evaluation via email as each course evaluation is completed.

Who evaluates my courses?

All lower-division course work is evaluated by highly trained staff in the Office of the University Provost using standard ASU criteria established by faculty in all disciplines and subject areas. All upper-division course work, in addition to some highly complex or specialized lower-division course work, is evaluated by ASU faculty in the academic area that offers comparable courses at ASU.

What credit/grades will I receive for my Global Education program coursework?

ASU has approved credit and grade conversion scales for all Partnership and Exchange programs, which should be used as a guideline for determining how a particular credit amount or grade at your host institution will be reflected on your ASU transcript.  These scales are published in the  Course Info  tab at the top of the program brochure, then click the View Pre-Approved Courses  button.  If you do not see a conversion scale published for your program, please contact the appropriate GEO  International Coordinator  for additional information. 

How do I get a general studies designation for a global education course equivalency?

If a Global Education course has been approved as equivalent to an ASU course that already carries one or more General Studies designations (e.g. HU, SB, L, etc.), then those  General Studies requirements  will be marked as complete within DARS (after your Global Education credits/grades have been posted by GEO).  If a Global Education course has been approved as equivalent to a Special Topics course (e.g. 194, 394, etc.), then those equivalent courses may or may not carry General Studies designations.  If you wish to petition to have a Global Education course fulfill a General Studies requirement, you should contact the College of your primary major to determine if/how such a petition is possible.

What if I am graduating at the conclusion of my Global Education program?

You can graduate from ASU as planned, but you will not receive a diploma until the Global Education program credits and grades have been posted to your official ASU transcript.  Your ASU degree will reflect a graduation date based on when all degree requirements were completed, not when the Global Education academic record was updated.     The Global Education Office (GEO) places a high priority on processing academic records for graduating students.  You will receive an email confirmation from the GEO once the Global Education credits/grades have been posted to your ASU transcript.  The Graduation Section of the University Registrar’s Office will also be notified, and is prepared to then expedite the issuing of your degree.

Will my ASU merit scholarship be renewed?

Yes. To avoid any potential problems with scholarship renewal, if you receive an ASU merit-based scholarship, you should submit all Course Equivalency Requests prior to the host institution’s drop-add deadline, or within the first three weeks of your study abroad program (whichever comes first).  Merit Scholarship recipients should contact  ASU Financial Aid and Scholarship Services  directly for more information pertaining to scholarship renewal.

When and how can I access a copy of my foreign transcript?

ASU’s partner institutions and program providers send foreign transcripts directly to the Global Education Office, generally within 1 - 4 months after the conclusion of the program (though the actual timing depends on a number of variables).  Once the Global Education Office has received your official transcript, you can view a copy within the  My Documents  section of your  ASU Global Education program application .

How credits transfer to ASU

When you transfer to ASU from another college or university, the following general standards for transfer credits apply. You can use ASU transfer tools to learn how credits will transfer and begin creating your roadmap to graduation.

Accepted credits

ASU accepts college-level (not remedial) courses in which transfer students have earned a grade of “C-“ (4.00=”A”) or better from regionally accredited colleges and universities. If a course is repeated, the first course in which a minimum of “C-“ grade was earned will be used.

Pass grades may be transferable to ASU if the institution or transcript indicates the "P" grade is comparable to a C- or better. Pass grades are not calculated into your transfer GPA for admission.

Applicability

The applicability of a specific transfer course toward an ASU degree program depends on the requirements of the department, division, college or school in which you are enrolled at ASU.

Credit hours

A maximum of 64 semester hours of credit will be accepted as lower-division credit when transferred from a regionally accredited community, junior or two-year college, with the exception of some special programs. An unlimited number of credit hours will be accepted from four-year institutions. Upon admission to the university, you will work with an ASU academic advisor to determine how your transferable credits apply toward your selected major.

Credit conversion

Acceptable academic credits earned at other institutions that are based on a different unit of credit than the one prescribed by the Arizona Board of Regents are subject to conversion before being transferred to ASU. All ASU students must meet graduation requirements (university, college, major and general studies requirements) to earn a four-year degree.

Degree requirements

The ASU college of your major determines how transfer courses fulfill the degree requirements of your ASU major. You should review the degree requirements of the program into which you intend to transfer and talk with an academic advisor about your transfer credits and how they will apply to your degree program.

Determining GPA

Grades and honor points that you earned at other colleges and universities are considered for admission, but your ASU cumulative grade point average is based solely on coursework taken at ASU.

Types of transfer credits not accepted by ASU:

  • Courses in which you earned below “C-” as your final grade.  
  • Credit awarded by postsecondary schools in the United States that lack candidate status or are not accredited by a regional accrediting association.  
  • Credit awarded by postsecondary schools for life experience.  
  • Credit awarded by postsecondary schools for courses taken at noncollegiate institutions (e.g., governmental agencies, corporations, industrial firms, etc.).  
  • Credit awarded for continuing education units (CEU), continuing education credit, workshops, seminars, professional development courses and other not-for-credit courses through postsecondary institutions.  
  • Prospective students can contact  Admission Services or  Academic Transfer Credit Solutions .
  • Admitted students can contact their academic advisor or academic unit (found on My ASU).

Evaluation of military transcripts

ASU uses the American Council on Education's  Guide to the Evaluation of Educational Experiences in the Armed Services  to assess how to transfer military credits to ASU. In general, a military course must be similar to an ASU undergraduate course to transfer to ASU.

Military credits that transfer to ASU through educational experiences in the armed services are not applicable toward completing ASU’s  general studies requirements  for graduation, but do count for total credits toward completion. No transfer credit is awarded for vocational certificate category ACE recommendations.

The JST is reviewed for potential transfer credit in accordance with VA guidelines and Arizona statutes related to awarding credit for military training and education. Credits are evaluated at the time of JST submission to ASU. It is recommended the JST be sent to ASU upon application to ensure timely processing and evaluation.

ASU accepts the following military transcripts for transfer credit:

Air force and space force members.

Enlisted members

The Community College of the Air Force is a regionally accredited community college. If you received credit for courses taken through the CCAF while in active service, submit this transcript as part of your application. You can request to have your official CCAF sent to ASU from the Community College of the Air Force transcripts page. CCAF now offers electronic transcript delivery through Parchment, a digital credentialing service. Students are able to create an account on Parchment to send transcripts.

Officer transcripts are maintained by Air University. First-time users must create an account by accessing the AU Service Desk . This works better on non-NIPR and Google Chrome. On the homepage under the Quick Links tab, select Official Transcript Request. Complete the required components of the form, add the attachments and submit. The Service Desk can be accessed by any device that has internet access; it is Common Access Card (CAC) enabled, but this is not required. The AU Service Desk is a secure application and certified for submission of Privacy Act information.

Army, Marine Corps, Navy and Coast Guard members

  • The Joint Services Transcript has replaced the Coast Guard Institute Transcript, the Army/American Council on Education Registry Transcript System and the Sailor/Marine American Council on Education Registry Transcript. 
  • All enlisted members, officers and warrant officers, both active and veterans from all Army components, Coast Guard, Marine Corps and Navy, are eligible for a JST. You do not have to be on active duty to access the JST website and your transcript. Active duty, reserve, veterans or National Guard personnel can use JSTs.
  • Some students may have concerns about a security warning when accessing the website.  This happens when a user logs in to a Department of Defense network from a non-networked computer without a CAC. You can confirm the security exception to proceed to the JST request site. If you do not confirm this exception, you will be unable to place your order.
  • Register for a JST account, and direct the DoD to send your transcript to ASU. 

Veterans exception

By Arizona statute, no failing grades received by a veteran at an Arizona university or community college before military service may be considered when determining admissibility. This exception may be used only one time and applies only to veterans who:

  • Are honorably discharged.
  • Have served in the armed forces of the United States for a minimum of two years.
  • Have previously enrolled at a university or community college in Arizona.

Military service records must be submitted, including form DD 214.

Credit by exam

You may earn no more than 60 hours of credit by exam for any degree program, including ASU comprehensive and proficiency exams.

How do I transfer college credits to ASU?

You can transfer credits to ASU by requesting your transcripts from all colleges you have attended and have them sent directly to ASU.
