TripIt: Store Your Passport and Travel Documents in One App

This image may contain Electronics Phone Mobile Phone and Cell Phone

Dropbox, crumbled printouts shoved in a not-so-secret pocket in our suitcase—we all have own (not always wonderful) methods for storing backups of important travel documents like our passport and ID when we travel. Now TripIt, an app for organizing all your travel reservations and plans in one place, is hoping to make keeping track of those things a little easier. Their new ‘Traveler Profile’ feature is a digital place to store scanned versions of your passport and ID as well as contact info for people like your house sitter and doctor. Information is available while you’re traveling within TripIt’s iOS and Android apps, as well as through its website.

TripIt says that your profile can store “almost any document,” but it comes with 20 preset document and contact types to help you get started. You add everything right on your phone (including snapping shots of your passport), and access it with just a few taps later on. The information is also stored offline so you can access it even when you don’t have a data connection. All that sensitive data is protected behind a four-digit PIN, so if you happen to lose your phone you don’t have to worry about your info ending up in nefarious hands. If you’re the travel coordinator for your family of four, you can also store everyone’s documents to your account so you can access everything at once.

Using TripIt is a lot safer than storing things on your phone’s camera roll, and can make filling out forms at the airport or pulling up your pediatrician’s number in an emergency a lot easier. If you do end up in a situation where you lose your phone or luggage, there’s also definitely something to be said for having all that information available via the web.

TripIt’s new Traveler Profile is available now. If you’re already a TripIt user, you’ll find it under ‘Profile’ on the app’s home screen once you download the update. TripIt and the Traveler Profile feature is free to use, but the $49/year Pro version of the app offers additional features like seat tracking, refund notifications, and real-time flight alerts.

Whether traveling for business or for pleasure, it can be both a fun and frustrating experience. And no matter whether your travels take you to another city or across the world, it’s important to be as organized as possible. Luckily, there are travel apps to make this easier than ever before.

Staying organized while traveling isn’t just a stress-saver, it can also be a time- and money-saver, too. You can utilize some of today’s best travel apps to organize receipts from business trips, compare fares, and keep you on schedule.

Here are six travel apps to help you stay organized on your next adventure.

What started as a messaging app for planning travel has quickly turned into so much more. Now with PlanChat, you can track flight and hotel prices for the perfect deal, browse experiences near your destination, and plan your itinerary with everyone in your party.

Traveling with a group of friends? Use the app’s poll feature to quickly get a show of hands on whether everyone prefers a fancy dinner or a bite at the pub. Get opinions regarding where to stay, how to get there, and even split expenses with everyone else in the group. It makes the frustrating process of planning for an entire group easier than ever before.

You can also create a visual itinerary through PlanChat, setting up a travel map that includes sightseeing, restaurant, overnight hotel, and even activity plans. PlanChat will auto-populate these plans with reviews, details, and even photos from some of your other fave apps (like Yelp) to give you a comprehensive view of each plan… all in one place.

PlanChat is free to download from the App Store.

This popular travel app can help you organize, and share, your next trip’s itinerary easily, even automatically syncing with your calendar as needed.

After downloading the app, you’ll be able to establish master itineraries for all of your upcoming travels. Then, as you make reservations (for flights, hotels, car rentals, shuttles, and even restaurants or salons), you can simply forward those emails to [email protected]. They will automatically add all of this information into your master itinerary, keeping your plans up-to-date and perfectly organized.

TripIt will also auto-sync with your favorite calendar if you’d like. The app supports syncing with calendar apps like Apple iCal, Outlook, Google Calendar, and more. If you make changes in one calendar, you’ll see it reflected in your travel itinerary through TripIt… without having to copy the information over.

Want to keep a secure copy of your most important travel information, in a place you can always access? TripIt can help. The app offers a Traveler Profile section that will store all of your important documents’ information and even relevant contacts, so you have access at your fingertips. It’s safe, too; the app allows you to set up a 4-digit PIN and the information is encrypted.

You can also share your itinerary through TripIt with the other members of your party, your spouse back home, colleagues at the office, or anyone else you want to keep in the loop. Want to let the rest of your group know that your flight has been delayed? Simply send a text through the app with the single touch of a button. Want your kids to know what’s on the travel agenda? Link your apps to share all of the travel plans with them.

The app is available in the App Store and for Android devices. TripIt is completely free, or you can upgrade to TripIt Pro for extra features (like seat tracking) for $49 a year.

If you travel for business, you know what a pain it can be to not only keep track of your itinerary, but also your receipts. Lose one or forget to track it, for instance, and you’ll have a reimbursement nightmare.

That’s where TravelBank comes in.

This handy app (which is now available on desktop, too) will help you organize all of your business travel needs. You can book flights through the app, earn and track travel rewards, automate your work-related expenses, track mileage, estimate the cost of your trip based on local data, and even submit documents for reimbursement. Want to book your itinerary to match your coworkers’, even allowing you to you’re your social seating on flights? TravelBank can do that.

There’s no more tracking paper receipts with TravelBank, either. You can simply snap a mobile picture to scan in your latest hotel or meal ticket. You can track your trip’s budget, too, ensuring that you stay within your limits or the area’s per diem rate.

Not only can you track and earn rewards points through hotel, car rental, and airline programs, but TravelBank also offers its own rewards program. If you manage to come in under budget for your trip, for instance, you can earn Amazon.com gift cards and more.

TravelBank is free to download from the App Store or Google Play.

Trip Republic

Trip Republic is a site that gives you access to thousands of experiences in your city of choice, allowing you to quickly browse your options, compare prices, and even book tickets. However, they also have an itinerary planning platform, which can help keep your next trip organized as well as fun.

With Trip Republic’s planning platform, you can search and book all aspects of your trip, including flights, hotels, restaurants, and other local activities. You will also receive personalized travel recommendations, opening your eyes to new and exciting experiences or must-see features.

You can also collaborate with your travel companions, even sharing trip ideas through the app. Your tripboard will allow you to keep notes, add important links, find popular suggestions, track booked plans, and even plan out meals.

To view the planner boards or create your own, visit planner.triprepublic.com

If you want an app that makes planning your trip just as easy as tracking plans once you arrive, TripCase might be the answer. This handy app will help you establish an itinerary – including flights, hotel reservations, rental cars, driving directions, and even dinner plans – as well as track your expenses.

Whether your next adventure is for business or pleasure, you can keep all of your information (and receipts) in one place. Forward your confirmation emails to TripCase, and they’ll even update your itinerary automatically. No more searching through your inbox for info.

You can also keep others in the loop with TripCase. Whether you want your loved ones to know where you are whilst jetsetting through Europe or need your colleagues up-to-date on a business trip, TripCase will keep anyone you want in on your plans.

TripCase is available in the App Store or on Google Play.

Sygic Travel

If seeing your trip laid out on a map is your idea of perfect, then Sygic Travel has the feature for you.  This app will allow you to plan your travel itinerary in a user-friendly, easy-to-view way. You can plot out sightseeing, book a hotel based on proximity to certain landmarks, and even route your walking or driving directions.

The app will give you endless info on tourist areas, exciting nightlife options, shows and events, or even tours you may want to take. Then, after reading Sygic’s thorough info on each, you can choose to add it to your travel plans. From there, you can schedule each day’s itinerary, plot out how you’ll get there (driving and walking routes in addition to subway schedules make this incredibly simple!), track expenses, and share your map with others.

To learn more, visit travel.sygic.com.

The next time you're looking to book travel – whether a romantic weekend getaway, a family vacation, or even your next business trip – give one of these travel apps a shot. You'll streamline your journey, stay on budget, and maybe even learn about some exciting new experiences along the way.

7 Travel Apps You Need To Download To Document Your Travels

7 Travel Apps You Need To Download To Document Your Travels

Travelling is all about making memories and experiencing new things but the best way to keep track of all of your memories is to document your travels. I love taking photos, videos and making notes of the places I've been so I can look back later and attempt to relive my experiences in Europe and Australia . Carrying around a camera to every single place I visit on my travels was getting annoying so I decided to invest in a newer iPhone and search for some apps to use. There are so many different ways to document your travels so today I'm sharing a few of my favourite travel apps that I used to document my trips.

1. Instagram

Perhaps the most obvious on the list but definitely worth a mention is Instagram . Instagram is the BEST way to share your travel photos and videos with all of your friends. I especially love Instagram's highlights feature.

If you're visiting multiple countries, you can create highlights for each country and share your stories here so you can go back and relive your travels.

IGTV is also a great way to document your trip. With IGTV, you can upload videos that can be up to an hour long. You can create a full video of your trip and upload it to IGTV for your followers. I also suggest creating your own travel hashtag and using it in your photos so you can look back through the hashtag later and see all of your travel photos in one place. For best results use a third-party Instagram story maker .

2. Evernote

It's great to have photos of your trips but I also think it's important to write stuff down. It's so hard to get lost in all of your experiences and forget the little details.

I use Evernote as a travel app to write down my itineraries, the places I've visited, the restaurants we try out, the food we liked, and anything little thing I want to remember.

You can also use Evernote email forwarding and Web Clipper to keep all of your important information in one place. Not only is this great for my own memories, but I've also used my Evernote notes to share itineraries with friends travelling to places I've been to. If you have a blog and plan to write blog posts about your travels, Evernote will be your best friend.

Voted one of the best new apps by Apple, Journi is the best way to document your travel with photos, notes, and maps. You can even turn them into printed photo books. These stories can be private to you or you can share them publicly or with a specific audience.

The best part about this app is that you can create stories with your travel partner. You can both capture photos and take notes and store them in one story so you can create the memory book together. They also allow you to search other stories around the world so you can see what other people are doing on their travels.

This is a great way to find travel inspiration or look for suggested spots to check out during your trip.

4. 1 Second Everyday

Make a quick and memorable video of your travels by recording just one second every single day. I have loved using the 1 Second Everyday app to document my travels so far this year. I decided to use it a little differently and I export videos after each country or trip.

This way I have a quick video of each place instead of one longer one of my entire year. I love to take videos of the exciting things I see on my trip so most days I have a lot more than one second in my video and that's okay! The app is easy to use and it will even remind you to add a video for the day.

There were definitely days that I missed my one-second clips but that didn't matter the video still turned out awesome and I'm really happy I found this app!

5. ChatBooks

Chatbooks is a great app to use if you want a hard copy of your travel photos. These photo books are a great keepsake and couldn't be easier to put together. The easiest way to create a photo book is by using the hashtag I mentioned earlier. When you use the Chatbooks app to create your photobooks, simply select the hashtag and all of your travel photos will be in one place.

Then you can pick and choose the ones you want to include in your book. You'll also have the option to edit any captions and add your own text to your book. If you're interested in getting regular photobooks sent to you, you can create a subscription and for every 60 photos posted on your Instagram, Chatbooks will send you your customized photobook.

6. Tripcast

My parents love to be able to see what I'm doing while I'm travelling but constantly sending them photos and explaining what they were looking at got annoying real fast. Enter Tripcast .

This app is the best way to share your trip with your friends and family. Upload your photos to Tripcast and invite your friends and family to follow along. You can easily make updates and your followers can ask questions or leave comments. Photos are automatically added to your trip map so your friends and family can see exactly where the photo was taken without having to ask.

7. Google Photos

Download Google Photos and set it up so that whenever you're connected to Wi-Fi all of the new photos on your phone are transferred to Google Photos. Not only is this great to ensure you never lose your photos, but the Google Photos assistant will also enhance your photos, create animations, create location/time-based albums, and show you memories from previous years.

I know everyone is talking about getting off your phones and enjoying the moment as you're living it but taking photos and videos make me happy and I love being able to share those memories with my friends and family. If I'm going to spend all of this money travelling around the world, exploring new places and experiencing new things, I don't want to rely on just my memory.

Memories fade but photos and videos last forever. I want to be able to watch a video and be reminded of how I felt at that moment. I want to look at my photos and tell the stories of each for years to come so I am very thrilled to have access to all of these amazing applications in the palm of my hand. Documenting my travels has never been easier.

How to Use the TripIt App to Organise Your Travel Documents

How to Use the TripIt App to Organise Your Travel Documents

When you travel, there can be a lot of information to keep track of. The free TripIt app is one convenient way you can organise your documents and details so that you have all information together.

In the TripIt app, you can create a trip and then enter/upload the information and documents you need, such as:

  • Travel information, including flight details and tickets.
  • Booking details for extra hotel nights you may have arranged in connection with your trip.
  • The PDF documents you receive from Nature Travels for your experience with us.

Once you’ve uploaded the documents you need, you can access your trip information and documents offline at any time in the app.

How to Use the TripIt App to Organise Your Travel Documents

When you make a booking with Nature Travels, you will receive at least two PDF documents by email:

  • Booking Confirmation: This will show what you have booked, including the number of persons, your tour dates, any optional extras you have chosen, the amount you have paid so far, and any payment amount that is still outstanding along with the date the balance payment is due.
  • Info file: This will contain practical information for your experience, including contact details for your local hosts in the destination country (in case you need to call them on your arrival day if you are delayed, etc), a recommended packing list, a list of what is included as standard, and FAQs answering the most common questions you may have.

Depending on the experience you have booked and when you made your booking, you may also receive some additional PDF documents by email:

  • Confirmation of Full Payment: If you only paid a deposit when you booked (if you booked more than 60 days before the start of your trip), you will receive this document when you make your balance payment (due 60 days before the start of your trip). At the same time, we’ll also send you another copy of the “Info” file. Some details in the “Info” file might have changed since the earlier version, so it’s always a good idea to refer to this latest document.
  • Tour Description documents: Some of our experiences, such as some of our canoeing or timber rafting tours, will have detailed route description documents that you will need to have with you for your tour. You will receive these documents when you make full payment for your tour (so they will either be sent with your Booking Confirmation or Confirmation of Full Payment emails, depending on whether you paid deposit only or made full payment at time of booking).

Uploading these documents to the TripIt app, together with your flight and other travel documents and any other information you would like to add, is a convenient way to make sure you have all the information you need with you.

How to Use the TripIt App:

NB: The free version of the TripIt app only allows you to upload three documents per trip. If you need more but don’t want to upgrade, you can get around this by dividing your overall trip into separate TripIt “trips”. For example, you could have one “trip” titled “Travel to Kiruna”, where you keep your bus ticket to the airport, flight ticket and train ticket for travel in Sweden, and a second “trip” titled “Discover Dog Sledding in Lapland”, where you store the documents you have received from Nature Travels for your experience.

Step 1 – Download the TripIt app

Search the App Store or Google Play for the “TripIt: Travel Planner” app.

Step 2 – Create an account

When you log in to the app, it will ask to you create an account with your email address and a password.

Step 3 – Add trip documents and itinerary information

How you do this depends on the type of document/information you need to add.

Flight, train or hotel bookings: If you have received a confirmation email for your flight or other online booking, simply forward the mail (make sure you send it from the mail address that you use to register for your TripIt account) to [email protected]

As if by magic, the system should then add the itinerary information to the app for you a few seconds later. NB: If your confirmation document contains an attachment, such as a PDF for your flight ticket, this will not be added. You should add the document manually as described below. NB: This doesn’t work for all types of booking – for example, when testing the app, we found that it recognised flight details from a confirmation mail from Finnair without problems, but would not recognise the confirmation of a National Express coach booking. If the system cannot automatically process the information in the mail you send, you will receive a “there was a problem with your submission” email, and the information will not be added to your itinerary in the app. Instead, the contents of the email will be added as an “Unfiled” document in the app. You can then go in and assign that information to a particular trip and classify it under a category such as “transportation” or “note”.

How to Use the TripIt App to Organise Your Travel Documents

Nature Travels PDF files or other documents: Once you have a trip set up in the app (created, for example, from auto-adding flight information as above), you can add extra components to it. For example, to add your tour with Nature Travels:

Click + to Add Plan.

How to Use the TripIt App to Organise Your Travel Documents

  • Choose “Activity” and enter whatever details of the activity you wish (for example: “Event Name: Discover Dog Sledding in Lapland”; Start 24 March 2024 Start Time 15.00; End 27 March 2025 End Time 10.00″).
  • When you’ve created the activity, it will appear in your itinerary (where in the itinerary it appears depends on what start/end date/time information you have entered).
  • Click on the activity in the itinerary and then under “Documents”, click “+ Add” to upload documents from your phone to the app. Here you can collect all the PDF documents you have received from us: – Your Booking Confirmation (and Confirmation of Full Payment if you have one). – The Info file for your tour. – Any additional route description or other documents that you receive.
  • You can also set up a PIN-protected area to store sensitive information or documents.

How to Use the TripIt App to Organise Your Travel Documents

That’s it! There are many more features of the app that you can discover, but the steps above will allow you to save the basic documents and information for your tour for easy access when you are travelling.

Remember: When using this or any other automated process or technological tool, check the details yourself carefully to make sure everything is correct – don’t miss your flight because the app has interpreted a time or date incorrectly or is displaying information in a different time zone! 🙂

Happy travels!

Pack smarter: How to keep your travel documents and luggage organized

Only my closest friends know that I'm not the most organized traveler. It's a secret I've managee to hide pretty well. But when I tried to check into a hotel in Cape Town, South Africa, recently, the truth came out.

I unsnapped my passport holder and a tsunami of airline ticket stubs, grocery store receipts, and COVID-19 test results spilled onto the counter. The scraps of paper betrayed the length of my trip, from a Qatar Airlines boarding pass to an expired PCR test result from Lisbon.

"Take your time," a receptionist at the SunSquare Cape Town Gardens Hotel encouraged me as I fumbled for my passport. But that only made matters worse. The passport was stuck between slips of paper, and the hotel clerk's reassurances just made me spin my wheels.

TRY OUR TRAVEL NEWSLETTER:   Get the latest headlines in your inbox daily

I know, I know. I should have been ready with my ID. I should have filed away those receipts weeks ago.

Learn more: Best travel insurance

How do you keep all your stuff organized when you travel? That question is harder than ever to answer because travel has changed since the beginning of the coronavirus pandemic. Now you have to juggle your ID or passport with your boarding pass and COVID-19 paperwork, including your vaccine documentation and PCR or antigen test, if they're still required.

It's no small task. I've seen passengers approach an airline ticket counter with stacks of papers. They don't seem to know which end is up. To make matters worse, many hotel and airline workers are relatively new and aren't always sure what they're reading or what they should be checking. It's chaos.

"Travelers have to prepare and pack even more carefully before their trip," says Rajeev Shrivastava, CEO of VisitorsCoverage.com , a global travel insurance marketplace. "It can be easy to forget things when you're packing your carry-on with everything you’ll need for the flight, updating your travel documents and checking the weather and COVID alerts for your destination."

Travel with the right carry-on luggage

To get organized, you need the right luggage. Frequent traveler Mia Clarke prefers any travel-friendly carry-on bag or backpack. Make sure it has a zippered front pocket.

"This will ensure that you have the flexibility to access your toiletries, medications and other items easily," says Clarke, who founded a company that manufactures power inverters . "Keep some of your toiletries, like toothpaste or toothbrushes, a water bottle, and a travel-friendly hand sanitizer in the side pocket of your bag so that you always have these items close at hand."

I'm partial to a backpack because generally, no one will hassle you about it on a plane, even on one of those deep-discount airlines where they charge you for carry-on luggage.

AVELO ADDS NEW FLIGHTS:   New budget airline adds new East Coast routes

Use packing cubes

That's what organizational expert Kate Hart does before she travels. She likes packing cubes, which allow her to organize clothes, wires and electronics in separate compartments.

"For example, have toiletries in one place, warmer wear or cardigans in another, towels in the third cube – you get the idea," says Hart, a manager for a U.K.-based relocation service .

You can take the modular concept a step further. Modular luggage allows you to stack a backpack or duffel bag on top of your roll-aboard. That allows you to roll your luggage anywhere, except maybe on cobblestone roads. If you can stack your luggage and use packing cubes, you are well on your way to being more organized.

Make a checklist and use it

"Prepping for a trip requires tracking a huge amount of information," says Chris Emery, editor of Ordealist.com , a guide to vehicle-based adventure travel. "A checklist will keep you organized when things get hectic."

The checklist should contain a list of essential items. Take photos of your luggage and its contents, too, just in case you have to file a travel insurance claim.

Organizational experts like Emery refer back to their list to make sure they didn't forget to pack something – or that they didn't leave something behind when they're returning home.

Pay attention to the details

Here's one detail you'll want to keep handy: your passport number. They'll ask for it again and again when you're traveling abroad. I've almost memorized mine. If you can't do that, then keep it somewhere on your phone.

"You need your passport number for all the forms, and it's easier and quicker to get it off your phone than constantly digging it out of its safe storage place," says Robin Cline, founder of Cline & Co. Travel Consulting . "It reduces the chance of misplacing your passport too."

Here's something else you probably need to memorize: your phone number. I know, it sounds silly, but you never call yourself. Almost every form requires that you put your phone number on it. Don't forget the "+1" country code if you're abroad; otherwise, calls and texts will never get through to you.

Make digital copies of important documents

"Have documents accessible both on paper and digitally," says Annie Sisson, travel consultant for indie travelers and founder of Into the Bold . "Create a file folder on your phone and keep the PDF versions of your documents there."

You may never need the document. But if you can't retrieve your passports for some reason, your hotel or cruise line might accept a photo emailed to them – it has happened to me.

Digital backups are also important in case you lose your passport. Note: Frequent travelers who need to apply for visas should consider getting a duplicate U.S. passport.

COVID VACCINE CARD:   How to safely store vaccination proof on your phone

Bob Bacheler , managing director of the medical transportation company Flying Angels , also recommends a backup wallet with a government-issued photo ID such as a Global Entry card, passport card or other identification the TSA will accept to board a flight.

"If you have to replace your passport, it's far easier if you can present a copy of the passport and a valid, government-issued ID," he says.

Yeah, there's an app for that

Some travel advisers use an online spreadsheet, shared calendar or a program called Axus to create and share itineraries. If you're designing your own trip, you can also download TripIt , an itinerary management app that organizes all of your travel bookings in one place.

Taryn White, chief travel officer for The Trip Wish List , likes TripIt because it also contains public health and safety advisories, cancellation policies, new travel guidelines and country-specific travel information.

"The document uploads are incredibly useful for storing online images of your vaccination cards, mobile QR Codes, passport copies, and photos of your luggage," she adds.

I've used TripIt and Axus and prefer the flexibility of an online calendar. But to each their own.

Smarttrips App By Teksmobile

travel document storage app

Summary: Smarttrips is a customised digital travel wallet app, available on the iOS and Android platforms. It allows users to store all types of important travel documents in electronic format, and offers other key competitive advantages too.

Being worried all the time can totally ruin a much-awaited holiday. That’s precisely why it is always ideal to chalk out detailed itineraries, and make all the required bookings well in advance – to avoid the last-minute panic. Over time, technology has also started to aid the travel business in general, and individual travelers in particular, in a big way (would you ever step onto an unknown road without GPS?). The Teks team had previously worked on several travel-related applications – with Stopover (airport meetup app) and Trotjot (travel journal app) being among the most noteworthy ones. When the Smarttrips project came along, it presented us with a new challenge – one that us got all excited.

What Is Smarttrips All About?

Smarttrips has been designed as an application that would deliver value to both travel businesses as well as individual clients (travelers). It goes beyond the run-of-the-mill definition of ‘travel document storage app’, and offers a multitude of functionalities to users. As soon as Leonie had outlined the project to us, we knew that this one would be a winner.

“I have worked with Hussain and his team for several years now…right since the days of Lifestyle Travel. Here was a group that was great both in terms of professionalism as well as technical expertise. When the idea for Smarttrips took shape, there was no question of going with it to any other company. Why look further when you already have the best?”

In a nutshell, Smarttrips is a smart travel assistant application that allows travel businesses to securely store their clients’ travel documents on the digital platform. It does away with the (often troublesome!) need to carry fat wallets, crammed with papers and tickets and identification documents, and other important stuff.

Smarttrips on iOS and Android

The Smarttrips application is all about delivering greater convenience to travelers. If we had limited its availability to a single platform, its purpose would have been somewhat defeated. Leonie agreed with our vision to maximize its reach…and as such, separate, customised versions for iOS and Android were created.

Our in-house iOS and Android development teams started working simultaneously on the Smarttrips app. After some deliberation, we decided to make the app available on Apple devices running on iOS 8 and later, and on Android devices powered by Android 4.1 Jelly Bean and later. The app, of course, can be downloaded and used on smartphones AND tablets.

“I wanted Smarttrips to offer certain key points of difference…let’s just say competitive advantages…to the travel businesses using it. The guys at Teks were with me on the same page right through, and created the app just like my plans.”

Positive reviews, 24x7 communication.

A trip plan might have to be updated at a very short notice. Travelers might wish to make certain changes at any time. In such situations, ensuring that they can get in touch with their agents on a 24×7 basis is vital. Smarttrips has a built-in messaging system to address this need. This in-app messaging option facilitates greater, and more seamless, client engagements, interactions and overall engagement.

As a travel enthusiast, I often look for travel apps that offer real value-added services. Smartrips fits the bill perfectly regarding that. I feel that the app can play a strong role in bolstering customer loyalty levels…something that is crucial for any business, travel or otherwise.

From flight tickets, country guides and hotel vouchers, to vehicle documents, maps, event tickets and more – Smartrips allows users (businesses) to ‘digitally store and supply’ all types of critical travel documents. There’s no saying which document might be urgently required at any moment – and having everything easily accessible on a smartphone (or tablet) is convenient indeed. Smarttrips is more than an electronic ticket wallet app…it can be a real useful digital travel companion!

The Magic Of

Easy To Manage. Vast Array Of Features.

Smarttrips comes with an efficiently designed web-based portal for admin login. Business and group travels can be easily managed from over here. Apart from trip counts and client counts, users can also check out information about upcoming trips, as well as view graphical representations of clients and trips (monthwise). Users and trips can be created quickly, and uploading travel documents is a matter of minutes.

In addition to secure cloud storage of important travel data and documents, Smartrips needed to have easy searchability – to be of real use to business users. Hussain agreed, and it was finalised that users will be able to look for any trips or documents directly from the dashboard. Ease of usage is, I feel, a strong factor behind the sustained popularity of Smarttrips.

Right from the start, we had plans to make Smarttrips an effective branding tool for travel businesses. That’s why the overall backend was made customisable (for branding elements to be used). The process of adding new documents is pretty much straightforward, and all trips are arranged alphabetically – for quicker and easier access.

Smarttrips For Travelers

For all the advantages and cool features that Smartrips has on offer for professional travel companies, its benefits for the random Joe…the individual traveller…cannot be glossed over. It’s an app that totally takes out the uncertainty factor out of vacation trips.

It’s not only about storing travel documents digitally and accessing them as and when required, as far as the utilities of the Smarttrips app are concerned. Users can also create and maintain travel diaries, have their very own travel checklists, view mobile travel guides and maps, and even have mobile check-ins. All the things that travelers might need…right at their fingertips!

Yet another advantage of this innovative mobile travel wallet app is the personalised trip reports that can be generated from it. The ‘live currency conversion’ feature also comes in handy.

The Role of APIs

The API logic or the business logic for this mobile app for travelers was constituted around the data for each particular user (at the app end). All the raw files (for instance, images) were stored on the server. The overall app database contained all the information on all users, together with important file paths and other data.

The main function of APIs in Smarttrips is quick and efficient manipulation of JSON data to enhance the readability, and in turn, usability of the application. The PHP scripting language was used to develop and implement the API logic. The APIs collectively accumulated all data, converted it to JSON, and then parsed the JSON data to find and display the information of a single user . The entire process was fast, accurate, and delivered real convenience to end-users. After all, no one wants to get into travel document-related troubles while on a trip!

The presence of APIs also adds an extra layer of security to this new iOS travel app. Every time an existing user logs in on the application, a secret key/API key gets generated. For all new requests, these API keys are sent to authenticate the users on the server.

On the official website of Smarttrips ( http://www.smarttrips.com.au/ ), users can request to attend a pre-recorded webinar – to familiarise themselves with the main features and benefits of the app. We have recently updated the application ( v.2.0.6 of the iOS version and v.1.0.16 of the Android version are currently available ) – with select new features and enhancements.

Smarttrips is available for free download at https://itunes.apple.com/us/app/smarttrips-smarter-travel/id1190242297 (iOS version) and https://play.google.com/store/apps/details?id=com.au.smarttrips&hl=en_IN (Android version). It is available in multiple languages apart from English, like Japanese, Italian, Spanish and Portuguese. We had previously tasted success with apps in the travel category…and Smarttrips is definitely one of the most interesting ( and successful ) projects our team has worked on.

Travel Tips

Updated On: January 5, 2024

Dave and I have always believed that the best adventures are those unplanned. Spontaneous trips, unexpected layovers, and impromptu road trips have shaped our love for travel. Yet, these exciting journeys would not have been possible without the aid of technology. That’s right, from hailing a ride in a new city to finding a place to crash for the night, there’s an app for almost everything. Let’s dive into some of our favorite travel apps, carefully divided into various categories, to enhance your travel experience.

Table of Contents

The Best Travel Apps

Top New Travel Apps

It is hard to believe that we have used all of these at one time or another in our travels around the world. Some of them are free travel apps and others require a subscription or you have to pay for. Regardless, each travel app listed here has either helped us save money, get cheap flights, helped with travel planning, or just made our life easier on the road. Most of these apps are available for both Android users and Apple users.

Best Apps for Transportation

Best Travel Apps for Transportation

1. Google Maps – Your Personalized Navigator

Remember when we got lost on the way to that hidden beach in Bali? Google Maps came to our rescue! Offering precise directions for driving, walking, cycling, or public transport, Google Maps is more than just a mapping service; it’s like having a local guide in your pocket. With real-time traffic updates, it even rerouted us around a massive traffic jam in London. It is easy to see why this is one of the best free travel apps around.

Best Travel Apps Google Maps

The feature that allows users to download offline maps was a lifesaver during our hike in a remote part of New Zealand. And let’s not forget the restaurant recommendations, opening hours, and reviews from other travelers that enrich our city exploration. Google Maps doesn’t just show you the way; it makes the journey an experience. Get Google Maps

2. Uber – Your Ride, Anytime, Anywhere

How many times have you been waiting for an overpriced taxi? We have had this happen countless times so always make sure to have the Uber App loaded on our phones. It is especially handy in big cities and can often be cheaper than taxis in certain countries. Our first time in NYC we were out late on a cold winter night and Taxi cabs were nowhere in sight. Thankfully, the Uber app was our savior. With just a few taps, we found ourselves a warm car and a friendly driver.

Uber provides ride-sharing services in cities across the globe. Whether you need a quick ride to the airport or a luxurious car for a special night out, Uber has options for every budget. Don’t let language barriers or unfamiliar streets deter you; let Uber take the wheel! Google Play / App Store

3. Citymapper – Navigate Like a Local

Best Travel Apps for transportation CityMapper

If you have ever been to London you know that navigating the London Underground can be a challenge at the best of times. (At least it was for us). That is one of the reasons we use Citymapper. With real-time updates, the best routes, and even alerts for when to get off the bus, this app turned us into savvy local commuters.

Citymapper is the go-to app for public transportation in major cities. From trains and buses to ferries and trams, Citymapper has it all covered. Save time, money, and sanity by letting Citymapper guide you through the twists and turns of urban travel. Get the Free Version of Citymapper on the Google Play / App Store

4. Lyft – A Friendly Alternative to Ridesharing

You can’t mention Uber without mentioning Lyft. Both basically provide the same service but we recommend having both loaded on your phone so you can compare fares. We were often able to find cheaper fares depending on what app we were using.

Also, when you are traveling to many different countries you soon find out that sometimes Lyft operates in countries that Uber does not and vice versa. Lyft operates in hundreds of cities in the U.S. and Canada. With various ride options and a commitment to the community, Lyft makes getting around town easy and enjoyable. Get Lyft on Google Play / App Store

5. Moovit – Public Transit Unleashed

In bustling São Paulo, Moovit was our guide to efficient public transportation. Providing real-time transit data for buses, trains, and subways, it tells you exactly when the next one is coming. It also offers service alerts, so you know if there are any delays or interruptions. Moovit demystifies public transport, making it accessible to both locals and tourists alike. Oh, the countless times TripAdvisor has been our compass in the chaotic world of hotels, vacation rentals, and even restaurants! We’ll never forget that charming B&B we found in Tuscany or the perfect beachside resort in Belize, all thanks to the extensive user reviews and ratings on TripAdvisor. Its intuitive filters let us tailor our searches to fit our budget, preferences, and even specific needs like pet-friendly accommodations or family suites.

But it’s more than just a booking app; it’s a community of fellow travelers. We’ve laughed and learned from reviews, discovered hidden gems, and even made some travel buddies along the way! The “Things to Do” section led us to that unforgettable cooking class in Paris, too. TripAdvisor is like having a seasoned travel buddy who knows all the insider secrets, making every trip not just a journey but a rich experience. Get TripAdvisor

8. Hotel Tonight – Last-Minute Lifesaver

Best Travel App for Hotels Hotel tonight

Dave and I are notorious for not planning well. We often wing it, especially on a road trip. I can’t tell you how many times we’ve gotten to our destination without having a place to stay. That is why the Hotel Tonight app has come in handy on more than one occasion.

For last-minute hotel stays, Hotel Tonight finds empty hotel rooms and offers discounts to travelers needing to book right now. Hotels would rather sell a night at a discounted rate than leave a room empty. So if you’re flexible and willing to take a chance (or are completely disorganized like us), Hotel Tonight is a great choice! Get Hotel Tonight on Google Play / App Store

Our spontaneous beach getaway to the Cayman Islands was made flawless with Hopper. It predicts future hotel and flight prices with 95% accuracy up to a year in advance. Fantastic post! Thanks for sharing.

Great post! Thanks for sharing.

I love travel maybe i’ll visit one of these soon. thanks for sharing.

I really like your blog. I haven’t heard most of these apps before, which can help me to plan my trip. I will check them out. Thank you for sharing.

I love traveling and some of these apps are really helpful. Thanks a lot for sharing this. I might try some of them too.

This is a great list of travel apps and I use most of them especially Hopper, Kayak and XE. For hotels I usually go to Booking’s app but it depends as for Asia Agoda has the best prices. I didn’t know about KnowRoaming and I will definitely give it a try. Thanks

I’d like to share a short story with you and your readers. In January I got engaged in Thailand and my fiance had a visa to come visit me in Spain this spring. Shortly after the Covid virus appeared and basically destroyed our travel plans. Despite the fact I was checking the entry restrictions to Spain twice daily, my fiance’s visa expired yesterday, June 1. Life happens and we will get another visa. But I came up with an idea for an app which allows users to check the current entry restrictions for any country. It is called Open Borders and is very simple but I hope travelers appreciate it. Feel free to check it out on Google’s play store.

its really helpful information for travel blogger. thanks.

These are some incredible recommendations! I’ve used a lot of the “pre-trip” apps, for example, SkyScanner and the like, but not so much of the “while traveling” ones, aside from Uber or Lyft. I’ll be sure to download some of these and try them out on my next adventure. I’m particularly interested in CityMapper because I prefer to take public transportation when I’m in a new city.

ExpressVPN worked great when I was in China. Highly recommended.

I too have been an enthusiastic reviewer and user of TripAdvisor – until recently. One of the best aspects of how TripAdvisor USED to work is your own reviews were categorized by location. So if I wanted to be reminded what that restaurant we loved in Dusseldorf was called it was easy to look it up. About a year ago that system was dropped so now all my 700+ reviews are just listed in reverse chronological order and anything over 5 years old has been dumped – not that anyone has the time to scroll back through hundreds of screens to get back that far. This change is a real disincentive to writing any more reviews. I haven’t contributed in a while as a result. I’ve communicated my disappointment to TripAdvisor twice so far – with no result. If they fixed this I’d be back contributing in a heartbeat.

Why Are Travel Journal Apps Essential for Modern Travelers?

Organization and Searchability : Travel journal apps allow you to categorize your entries by date, location, or themes. This organization makes it incredibly easy to find specific moments or experiences when you want to revisit them later. No more flipping through pages or scrolling endlessly through handwritten notes.

Offline Capabilities : Many travel journal apps offer offline functionality. This means you can continue to write and update your journal even when you’re in remote areas without an internet connection. You won’t miss a beat in capturing your travel memories.

Privacy and Security : Digital travel journals can be password-protected or encrypted, ensuring the privacy of your thoughts and experiences. This level of security provides peace of mind, especially if your journal contains sensitive or personal content.

Interactive Maps : Some apps integrate interactive mapping features, allowing you to plot your journey, mark significant locations, and even create custom itineraries. This visual representation adds another layer of depth to your travel stories.

Real-time Weather and Location Data : Many travel journal apps automatically capture real-time weather and location data for your entries. This adds context to your memories, helping you recall the weather conditions or exact coordinates of your adventures.

Easy Editing and Formatting : Unlike traditional journals where editing can be cumbersome, travel journal apps often come with easy editing tools. You can correct errors, change the formatting, and update your entries effortlessly, ensuring your travel stories are polished and presentable.

Backup and Recovery : These apps usually provide cloud backup options, guaranteeing that your travel journal is safe from loss or damage. In case your device is lost or damaged, your precious travel memories can be recovered easily.

Global Community : Some travel journal apps connect you to a global community of travelers, allowing you to share your experiences, gain inspiration from others, and even receive travel tips and recommendations from like-minded individuals.

Incorporating a travel journal app into your adventures is not just about documenting your travels; it’s about enhancing your travel experiences, staying organized, and sharing your adventures with the world. These apps are the perfect companion for modern travelers seeking a more efficient and interactive way to chronicle their journeys.

How to Choose the Right Travel Journal App?

Selecting the right travel journal app can significantly enhance your journey, making the process of documenting your experiences a breeze. With a multitude of options available, finding the perfect app can be a daunting task. This ultimate guide will walk you through the factors to consider when choosing the ideal travel journal app to suit your needs.

1. Purpose and Features : First, identify your primary purpose for using a travel journal app. Are you mainly interested in writing, or do you want multimedia features such as photo and video integration? Look for an app that aligns with your intended use.

2. Platform Compatibility : Ensure the app is compatible with your device. Most travel journal apps are available for both iOS and Android, but it’s essential to verify before downloading.

3. Offline Functionality : Consider whether the app works offline. This feature is vital for travelers who explore remote areas with limited internet access. Offline capabilities allow you to write and update your journal regardless of your location.

4. Ease of Use : Look for an app with an intuitive interface. A user-friendly design ensures that you can quickly learn how to use the app and start documenting your travels without frustration.

5. Multimedia Integration : If you want to include photos, videos, and links in your journal, seek apps that offer robust multimedia integration. Ensure that it supports the file types and formats you intend to use.

6. Privacy and Security : Review the app’s privacy and security settings. Depending on your preferences, you may want an app that allows you to password-protect your entries or encrypt your data for added security.

7. Backup and Sync : Choose an app that offers backup and synchronization options. This ensures that your travel journal is safe and accessible across multiple devices.

8. Community and Sharing : If you wish to connect with a travel journaling community or share your adventures with others, opt for an app that provides these social features.

9. Pricing and In-App Purchases : Assess the app’s pricing model. Some travel journal apps are free, while others require a one-time purchase or a subscription. Be aware of any in-app purchases or premium features.

By considering these factors, you can confidently choose the right travel journal app that aligns with your travel style and preferences. Remember that the perfect app is one that seamlessly integrates into your travel experience, helping you capture, share, and relive your adventures effortlessly.

Social Side of Travel Journal Apps

Traveling is not just about the destinations; it’s about the stories you collect along the way and the connections you make with fellow adventurers. Travel journal apps have evolved beyond simple note-taking tools; they have embraced the social age, allowing you to share your wanderlust with the world.

Real-Time Updates : One of the most captivating aspects of travel journal apps is their ability to offer real-time updates. Whether you’re exploring a hidden gem or witnessing a stunning sunset, you can instantly share your experiences with friends and family, giving them a glimpse of your adventure as it unfolds. It’s like taking them on the journey with you.

Social Media Integration : Many travel journal apps seamlessly integrate with popular social media platforms. This means that you can cross-post your entries, photos, and videos to platforms like Instagram, Facebook, or Twitter, expanding your audience and engagement. It’s an excellent way to inspire others to explore and share their own journeys.

Community Interaction : Some apps foster a sense of community among travelers. You can connect with like-minded individuals who share your passion for exploration. These communities often provide a platform to ask for travel advice, exchange tips, and engage in meaningful conversations about your favorite destinations.

Collaborative Journals : The social aspect of travel journal apps goes beyond personal sharing. You can collaborate with fellow travelers to create shared journals. Whether you’re traveling with friends or meeting new people on the road, collaborative journals allow multiple perspectives and experiences to come together in one place.

Inspiration and Networking : By sharing your travel experiences on these apps, you can become a source of inspiration for others. Likewise, you’ll find plenty of inspiration in the journeys of fellow travelers. It’s not just about sharing; it’s also about networking and learning from one another.

Keeping a copy of your essential documents on your phone can give you peace of mind, knowing that you have them with you at all times, in case you need them.

Top five travel documents to keep a record on your phone

  • Passport: Your passport is your most important travel document, so having a copy on your phone is essential. If your passport is lost or stolen, having a copy on your phone can make it easier to replace it.
  • Visa: If you need a visa to enter your destination country, keep a copy of it on your phone. This is especially important if you’re traveling to multiple countries, as you may need to show your visa to border officials in each country.
  • Travel insurance: Travel insurance can protect you from unexpected events, such as lost luggage, medical emergencies, and canceled flights. Be sure to keep a copy of your travel insurance policy on your phone so that you can easily access it if needed.
  • Flight itinerary: Your itinerary shows your flight details, such as your flight number, departure and arrival times, and seat assignment. Keeping a copy of your flight itinerary on your phone can be helpful if you need to check your flight status or rebook your flight.
  • Hotel reservation: Your hotel reservation confirmation shows your check-in and check-out dates, room type, and rate. Keeping a copy of your hotel reservation on your phone can be helpful if you need to check your reservation or contact your hotel.

In addition to these five essential documents, there are a few other documents that you may want to keep record on your phone, such as:

  • Driver’s license: If you plan on renting a car at your destination , you’ll need to show your driver’s license. It’s a good idea to keep a copy of your driver’s license on your phone if you lose it or forget to bring it.
  • Credit cards: It’s always a good idea to have multiple credit cards with you when traveling in case one of your cards is lost or stolen. Keeping a copy of your credit card numbers and expiration dates on your phone can be helpful if you need to replace a lost or stolen card.
  • Medical information: If you have any medical conditions or allergies, keeping a copy of your medical information on your phone is a good idea. This can be helpful if you need to see a doctor while traveling.
  • Emergency contact information: Keeping a copy of your emergency contact information on your phone is also a good idea. This can include the phone numbers of your family members, friends, and travel insurance company.

Tips for using your phone to manage your travel documents

Here are a few tips for using your phone to manage your travel documents:

  • Create a folder on your phone for your travel documents. This will make it easy to find your documents when you need them.
  • Use a secure app to store your documents. There are several apps available that can help you keep and manage your travel documents.
  • Passwords protect your documents. If you’re using a secure app or cloud storage service, password-protect your documents so only you can access them.
  • Backup your documents regularly. As mentioned above, backing up your travel documents regularly to a cloud storage service or external hard drive is essential.
  • Sync your documents across devices. If you have multiple devices, such as a phone and a laptop, you can sync your travel documents across devices to always have access to them.

By following these tips, you can ensure your travel documents are safe and accessible on your phone. This will give you peace of mind, knowing that you’re prepared for anything when you’re traveling.

Find yourself waist deep in a river? It’s waterproof. Find yourself going through some sketchy looking areas? It protects against Radio-Frequency Identification devices. It boasts pockets for your passport, boarding passes, cash, cards and even your smartphone. It's the perfect compact travel wallet and for the price, and reviewers agree, you can’t beat it.

The best multi pocket travel wallet

Go Travel Document Organiser

10. Go Travel Document Organiser

This travel document holder is the perfect contender for the most amount of pockets featured in a small space competition. There’s several card slots, an ID slot, a travel money zipped pocket, a slot to put your boarding passes and enough slots for several passports, if you’re travelling as a family.

It’s also good to note that this travel wallet provides RFID protection, so you can be completely sure that your identification is safe. Comments suggest that it’s fairly bulky in size, and therefore needs a large pocket for storing it away, aside from that, it’s the perfect practical travel companion.

How to buy the best travel wallet for you

Your choice of travel wallet will partly depend on style. Leather screams ‘sophisticated businessman’, while durable, waterproof materials will appeal to those who only entertain travel-grade products that will last much longer than the air miles you collect.

Having space for passports and cards is standard, but not all travel document holders have space for keys, pens, and cash, and even some electronics.

You can find small travel wallets for single travellers, slightly bigger versions for couples, and whopping great A4-sized versions for large families and tour group leaders. They can be pocket-sized, or rucksack-sized, depending on your requirements. There are other things to think about, too.

Another aspect to consider is whether you want your travel wallet to provide protection against Radio-Frequency Identification devices (RFiD). Although rare, identification theft is an issue, and something you may or may not be worried out. Some of the best travel wallets block these devices, while others don’t, so it’s worth bearing it in mind when choosing. Ditto worldwide tracking, which adds even more peace of mind in case of theft.

When it comes to the best travel wallets, you get what you pay for. There’s nothing wrong with being cheap and cheerful, but if you want a wallet to become your faithful travel companion, you’re going to have to stretch that budget.

If you have a travel document holder, it's usefulness can spread beyond airports. Always take the same credit card when you travel? If you do have cards and documents that you only use when you travel – principally your passport, of course – a travel document holder is the ideal place to store them all when you are at home. Ditto emergency cash; no-one should go anywhere without at least US$50 in emergency cash (dollars are always better than pounds, especially when travelling outside Europe), and a travel document holder is the ideal place to keep it when you're at home as well as on your travels.

Staying organized with travel documents is super important. We really believe these simple but effective tips can make your travel run more smoothly and most importantly you can concentrate on having an amazing holiday than stressing about trying to find a ‘misplaced’ document when exactly when you need it.

Which Travel Documents to Remember?

So, first thing’s first, which travel documents do you need to remember? Of course, this can be very specific to the trip you’re taking, but of course the essential ones we’ve listed below:

  • Driving License (if applicable)
  • Visa (if required for the country you’re visiting)
  • Record of vaccinations (if required for the country you’re visiting)
  • Boarding Passes
  • Flight Details
  • Airport Parking Documents
  • Lounge Card (if applicable)
  • Rental Car Documents (if you’re hiring a car in the country you’re visiting)
  • Hotel Reservations
  • Transfer Information to your Accommodation
  • Pre-booked Excursion Documents
  • Travel Insurance
  • Emergency Contact Information

If you’re going to experiencing something specific on your holiday, such as going diving, remember your diving certificates.

1. Always Have Pens Handy

This tip is probably the most simple tip but easily forgotten. In this advanced world of technology we live in with more and more things being transitioned to online, it’s easy to forget something so simple.

If you’re traveling internationally, you will almost always be required to fill out an arrival card on the plane just before you are due to land. Surprisingly, the airport crew never seem to hand out pens for you to actually be able to complete the forms.

You never know when you’ll need it. But it’s useful on the plane journey as well if you want to make a note of anything, complete puzzles etc.

And it goes without saying to keep at least two pens on you, just in case one decides it’s not gonna work. Especially with the arrival cards, they can take some time to fill out if you’re traveling with a big family and you only have one pen between you, it’s a bit inconvenient. Take a few and you can spread this task out.

2. Save and Print the Documents as Soon as you Receive them

When you’ve booked a holiday, you’re likely to receive some travel documents, such as flight details, travel insurance, itinerary by email. As soon as you receive them, SAVE and PRINT them! We cannot recommend this enough!

Your personal emails can get so clogged up with junk very quickly. Then trying to find the emails just before you’re about to travel or even on the spot when you need them can be a nightmare. Not to mention, electronic copies on devices can be great, but it’s always great to have a backup paper copy. What happens if your device runs out of battery or you lose your device?

As you receive the documents, once printed, keep them aside in a pile until you receive everything, then they’re ready to ready to organize.

3. Save your Travel Documents Electronically

So, as mentioned above, a lot of the travel documents you’ll need will likely be sent to you electronically. As well as having a paper copy, it’s useful to have an electronic one too. We suggest to keep these super organized to do the following:

  • Create a folder for your trip in your email account, for example, Sri Lanka – October 2020.
  • Then create subfolders within this category, such as ‘Flight Details’, ‘Travel Insurance’, ‘Hotel Reservations’.
  • Move your emails into the relevant folder.
  • That’s it! Everything is super organized and easy to find when you need it in under 30 seconds.

If you’re planning a long trip, for example, a month or so and you’ll be staying at many different accommodations and taking several flights, we’d recommend naming your subfolder by dates. Then you know exactly where to go to when you need to, without making the search harder if you have too many emails in one category.

So, another great thing about technology is the number of great travel apps out there. Specifically, for keeping your travel documents organized all in one place, we recommend TripIt , as our travel organization app of choice. It’s fantastic at keeping all your important travel documents in one place. Why do we choose TripIt?

  • Simple – simply send your confirmation emails to [email protected] and it will create a master itinerary
  • Flexible – as you book further items, continue to send to the email and it updates accordingly to keep your plans up to date
  • Easy to use and doesn’t take up a lot of your time
  • Sync with your calendar
  • Share your itinerary – you can share your itinerary with others through the app, email or texts
  • Upgrade option – if you want additional features, you can upgrade to TripIt Pro which costs $49/year

If you want to find out more, check out the TripIt website here .

4. Send your Full Set of Travel Documents to your Travel Companion

If you’re not traveling alone, we’d recommend sending all your travel documents to your travel companion. Get them to setup up the email folders as described above. This works great for a couple/family. It’s just another step to ensure a backup plan in case the main person with the travel documentation loses their device or their device runs out of battery.

5. Use Handy Travel Organizers for your Paper Documents

After you’ve printed out all your documents, you realize you may have a lot, especially if you’re planning to go away for more than a week. Rather than just shoving all these items into a folder, there are some great items on the market to help organize your paper documents better.

We tend to use two items. One that includes documents we will need at the airport and another that holds all the other information we will require from leaving the destination airport onwards.

Know when you need your travel documents, If you have an idea of what you need when you need it, it’s going to make your life easier. Here’s a guide anyway.

At the airport

  • Record of vaccinations (if required for the country you’re visiting

We use the Vemingo Travel Wallet – RFID Blocking Passport Wallet . It’s compact, light, and easy to organize your travel documents we mentioned above. If you want to check out our review on this item, click here . We’ve also reviewed some other items which are great for organizing your travel in other ways. If you want to read out reviews of these, click here .

Leaving the destination airport

As these tend to just be A4 size paper documents, there are so many options available that would be sufficient for organizing these easily. There are many folders that offer s eparate compartments and tabs to be able to label each compartment. We’d recommend getting one of these!

And the great thing is, they’re relatively inexpensive but super useful and you can use them time and time again. As they’re usually made of plastic, they’ll be waterproof too, so you don’t have to worry about your documents becoming damaged.

We would recommend dividing the documents by topic and chronological order. This can easily fit into your hand luggage along with your travel wallet (described above) and ready for whenever you need it.

We also recommend throwing away your paper documents when you no longer require them. That just makes it easier to find items that you actually need. Make sure it is something you definitely don’t need before throwing it away though!

It’s also one less thing to sort out when you return home from your trip. There so many other things to do like unpack, one less thing on your to-do list definitely helps you a little along the way!

So in Summary…

We hope these simple but useful tips will help you with organizing your travel documents. Some of these may be obvious, but with everything else you’re trying to organize at the same time, they can easily be forgotten.

From passports to visas, the paperwork is all important when it comes to jetting from one country to another, which is why it’s worth investing in one of the best travel wallets, to keep all your documents safe and ready to access when you need them.

Luckily, some of our favourite travel accessory brands have risen to the challenge, producing fantastic travel wallets that not only have room for all the essentials but look incredibly stylish and reduce the risk of identity fraud, too.

We strongly recommend opting for RFID (radio-frequency identification) wallets, which use nickel and copper-coated material (usually polyester) to reduce the risk of identity fraud, by blocking the electromagnetic signals emitted from your bank cards.

Take the time to think about what you’re going to be using your wallet for – if you’re going to fill it to capacity, we’d recommend opting for a zip closure, but if easy access is a priority, don’t write off the humble magnet or press-stud closure.

We’re also huge fans of wallets that have clamshell openings – ones that open fully, like a book , rather than requiring you to extract your essentials through tiny openings.

How we tested the best travel wallets

Our recent trips involved a lot of paperwork (such as visas), currency in various denominations as well as essentials such as our passport (obviously), boarding passes and bank cards. We had plenty of opportunities to put a range of travel wallets to the test during these trips, whether it was before we’d even entered the airport (in India, all passengers must produce airplane tickets before being allowed into the terminal) or at visa checkpoints. In a nutshell? We truly put these wallets through their paces, and they all passed with flying colours. That said, certain ones have been clearly designed with specific additional purposes in mind, which is why we’ve highlighted the areas in which they excel below. Happy travels!

The best travel wallets for 2024 are:

  • Best travel wallet overall – Lifeventure RFID mini travel wallet: £24.94, Amazon.co.uk
  • Best budget travel wallet – Go Travel RFID organiser: £19.99, Go.travel
  • Best compact travel wallet – Jack Wolfskin cashbag wallet: £24, Jack-wolfskin.co.uk
  • Best for simplicity – Keela travel ID wallet: £24.95, Keelaoutdoors.com
  • Best large travel wallet – House of Disaster animal-print travel wallet: £29.99, Houseofdisaster.com

Lifeventure RFID mini travel wallet

  • Best : Travel wallet overall
  • Material : Nickel- and copper-coated polyester
  • Handy transparent pockets
  • Can also store your phone
  • Good choice of colours

This wallet has seven card pockets, including one covered by transparent plastic. Our advice? Use this one to stash ID cards, such as a driver’s licence – you can flash it without having to remove it from the wallet.

Larger slip pockets – placed beneath the smaller ones – are ideal for boarding passes and passports, and we used the pocket made from mesh to stash our iPhone. It’s another RFID wallet, which relies on nickel- and copper-coated polyester fabric to reduce the risk of identity theft.

Call us fickle but we loved the choice of four colourways, too.

Go Travel RFID organiser

best travel wallets

  • Best : Budget travel wallet
  • Material : Polyester
  • Great price
  • Slim but stuffed with pockets
  • Easy to access

Identity theft is no longer an invisible threat that brands merely use to convince us to part with extra cash. Well, some brands might still take this approach but Go Travel, which is known for its top-quality RFID travel wallets, definitely isn’t one of them, and this wallet is a case in point.

Despite its slimline design, it’s stuffed with pockets, to hold everything from passports (our rigorous testing proved that there was more than enough room for four) to boarding passes, which we placed in the extra-wide pockets beneath the ones designed to hold passports.

Unlike with similar products, the RFID tech has added minimal bulk, and its clamshell design, with zips that opened on three sides of each half of the wallet, meant refreshingly easy access to the contents.

Fjällräven kånken travel wallet

best travel wallet

  • Best : Travel wallet for easy access
  • Material : 65 per cent polyester, 35 per cent cotton
  • Extra-wide pockets
  • Tough and water-resistant

How Fjällräven managed to squeeze so many pockets into such a compact wallet, we’ll never know. We had plenty of room for our passport, vaccination documentation and foreign currency, which we placed inside the wallet, while we kept our boarding passes in the extra-wide exterior pocket on the wallet’s rear.

There’s an incredible sense of toughness to the kånken (thanks, partly, to the water-resistant G-1000 fabric), and we loved how the concertina-like strip of material between the wallet’s two halves meant we could open the wallet fully – no fumbling around through narrow openings to extricate essential documents.

Keela travel ID wallet

best travel wallet

  • Best : For simplicity
  • Material : Unspecified
  • Can be worn under garments
  • Great for easy access
  • No bells an whistles

To begin with, we were sceptical about the simplicity of this wallet but we’re now total converts. In recent years, partly because of the extra documentation required for travel (whether it’s vaccination paperwork or visa forms, much of which isn’t required to check in for a flight), we’ve taken to carrying our passport in a separate wallet, simply so we can produce it without riffling through irrelevant paperwork. Our top tip? Before entering the airport, place your boarding pass and passport in this transparent wallet (which slips neatly under jackets or T-shirts) and simply whip them out as and when required.

Jack Wolfskin cashbag wallet

best travel wallets

  • Best : Compact travel wallet
  • Material : Shell: 100 per cent polyamide; lining: 100 per cent polyester
  • Great for thick wads of cash
  • Small and easy to carry around

We love the name of this RFID wallet – if only because it brings to mind an accessory stuffed with thick wads of cash. That wasn’t the case where we were concerned, to be clear, although, we did find the extra-wide pocket useful for quickly stashing a wad of 1,000 Indian Rupees (don’t get excited – this equates to about £10).

It’s one of the smallest travel wallets in our selection, but that’s precisely why we love it – although it might not be large enough for your passport, it’s got more than enough room for currency, boarding passes and paperwork, and its size means it slips easily into pockets.

House of Disaster animal-print travel wallet

  • Best : Large travel wallet
  • Material : Vegan-friendly ‘leather’, faux cheetah fur, cotton lining
  • Funky, stylish design
  • Labelled compartments

We were instantly smitten with the flash of pink against the animal print, but the interior of this wallet was just as impressive. A zippered pocket was perfect for stashing loose change, while we used the shallow card pockets for hotel room keys and business cards. The highlight, however, was the main compartment, with its four dividers, clearly labelled (in chic golden font, no less) to indicate separate pockets for passports, tickets, documents and ‘other’.

Full disclosure, we were initially concerned by its larger size but a trip to India, which involved multiple internal flights (read: lots of tickets), visas and vaccination documentation, meant we easily filled this particular wallet.

It’s also available in a leopard-print design (£29.99, Houseofdisaster.com ).

The verdict: Travel wallets

If you want a wallet with all the bells and whistles, the Lifeventure RFID mini travel wallet is an absolute essential for jet-setters. It’s a great example of a product that proves opting for extra security doesn’t require going down the supersized route. Meanwhile, Fjällräven’s kånken travel wallet is a sturdy, stylish piece of kit that stands up to serious amounts of wear and tear. If you like to stand out from the crowd, however, the House of Disaster animal-print travel wallet offers a dose of dopamine-boosting design.

Select the Sign in button to sign in to your OneDrive account. Provide the app permissions to access your info.

Note:  You can control whether OneDrive is connected to the Photos app under the Photos app’s settings.

Upload the photos and videos from mobile to OneDrive automatically:

One of the simplest ways to copy all your photos and videos to one place in the Photos app is to set up automatic upload to OneDrive of Photos from your mobile device.

Ensure that you're connected to OneDrive on the Microsoft Photos app. This allows OneDrive content to sync to the Photos app.

Then, on your iOS or Android device, install the  OneDrive  app. You can download the latest version from your phone's Android or iOS app store.

From the  OneDrive  app on your iOS or Android device, turn on  Camera Upload  in the OneDrive app’s settings. The latest photos and videos that you take will automatically start uploading to OneDrive.

Once uploaded to OneDrive, those photos and videos will automatically appear in the Photos app on your PC if you have OneDrive connected to your Photos app.  For more information, see  Sync files with OneDrive in Windows .

Access photos and videos on iCloud from the Photos app

You can access all the media files on iCloud from the Photos app. Here's how:

Select  iCloud Photos from left navigation menu. You will be prompted to go to the Microsoft Store and download the iCloud for Windows app.

Open the iCloud for Windows app, sign in to iCloud with your Apple ID, and then choose Photos on the iCloud app to view your iCloud media in the Photos app.

Open or go back to the  Photos  app and select the  iCloud Photos  tab. You will be able to see all your iCloud content.

Note:  Microsoft Photos will only access your media after iCloud connection is completed by you. You can control whether iCloud is connected to the Photos app under the iCloud for Windows app's settings.

Manage media: copy, move, remove or duplicate photos and videos

Photos app allows you to copy, move, remove or duplicate photos and videos. Here's how:

Copying photos and videos : If you copy a photo, video, or folder in the Photos app, the content remains in its original location and a duplicate is added to the newly specified location.

Moving photos and videos:  If you move a photo, video, or folder in the Photos app, the content location on your device will also be moved. For example, the folder will no longer exist at its original location.

Remove photos and videos:  If you no longer want a photo, video, or folder to appear in Photos, you can remove it by right clicking (or select and hold) the item name in the left navigation bar. Removing a folder from the Photos app does not delete that folder’s contents from your Windows machine—it will just no longer be viewable within the Photos app.

Important:

When you try to delete the OneDrive media files, they are sent to your Window’s recycle bin from the folder they came from on your Windows device. Deleted files are also sent to your OneDrive's recycle bin from your OneDrive account.

Deleting the files from your iCloud Photos synced folder will also delete the files in iCloud.

To learn more about OneDrive delete policies, see  Restore deleted files or folders in OneDrive .

If you accidentally delete an iCloud file and want to recover it, you may be able to do so for a limited period of time based on iCloud’s policies. See  Delete and recover photos and videos on iCloud  from Apple for more information.

Share your photos and videos

If you want to share a photo or video with others, select the desired photo(s), then right click and select Share . You can choose to share via email, social media, or other apps installed on your computer.

Previous legacy versions of the Photos app gather photos from your PC, phone, and other devices, and put them in one place where you can more easily find what you’re looking for.

You can organize your photos and videos into albums, making it easier to categorize and find specific media files.

To create albums in the photos app:

Open Photos app and select Albums .

Select +New album  and choose photos or videos from your collection using the checkboxes and select Create .

You can edit the title of the album as per your need.

Ensure that you're connected to OneDrive on the Microsoft Photos app. This allows OneDrive content to sync to the Photos app.

Important:  When you try to delete the OneDrive media files, they are sent to your Window’s recycle bin from the folder they came from on your Windows device. Deleted files are also sent to your OneDrive's recycle bin from your OneDrive account.
