Make the most of your virtual tour: Strategies that drive engagement

When I worked on campus, one of my favorite interactions was greeting admitted students and their parents when they arrived to take a tour. Their excitement was palpable, and you could see them falling in love with our institution as they explored campus and got to know our community.
This spring, things are different. With campuses closed, many students and their parents are reconnecting with your campus or getting their first impressions virtually. More than ever, colleges and universities are leveraging virtual campus tours to enhance connections with admitted students, build relationships with future classes, and remind current students why they should return to campus.
The numbers speak for themselves. Google searches for “virtual campus tours” increased 2x in the past month. And, in that same timeframe, 1.4 million people viewed one or more of our YouVisit virtual tours. As student interest in virtual visits grows, here are some best practices to help your tour stand out and increase student engagement throughout the admissions funnel.
High school seniors are taking virtual tours at a rate 228% higher than they were at this time last year
High school juniors are viewing virtual tours at a rate 258% higher than they were at this time last year
High school sophomores are viewing virtual tours at a rate 204% higher than they were at this time last year
Make sure your virtual tour is widely accessible across your site
While search volume for “virtual campus tours” has skyrocketed, some students and parents may not be aware of opportunities to visit campus virtually. Promoting your virtual tour across marketing channels drives tour traffic, and it engages Gen Z in the kind of immersive experiences students crave. For example, some admissions teams place their virtual tour link in their email signatures. Some enrollment leaders I spoke with in the first few weeks of the COVID-19 crisis were skeptical students would respond to email marketing. We’ve found email open and click-through rates have remained steady throughout the COVID-19 crisis, and response rates are 17% higher than they were for similar emails sent this time last year.
Another great way to amplify your virtual tour impact is through social media channels. Many of our partners enjoy success installing a virtual experience link on Facebook, starting a virtual tour hashtag on Twitter, or promoting their virtual tour in an Instagram story. And while your prospective freshmen are more likely to use these social media channels than LinkedIn, a post promoting your virtual tour on LinkedIn will re-engage alumni with your campus.
Ensure your virtual tour is just the first step in a student’s engagement
Virtual tours help reveal stealth activity, so it’s important to have an effective inquiry collection experience within your tour. 6 Ways to Integrate Virtual Tours in Your Social Media Marketing

COVID-19 has shifted the marketing landscape. A virtual media tour is like a traditional media tour, except you don’t generally have to get out of your pajamas. Virtual media tours include bloggers, radio stations, podcasters, and webcasters. Tours begin with research. You must find all the blogs, radio shows, podcasts and webcasts that connect with your content. These media outlets include the obvious ones, such as book reviewers and book bloggers. But don’t overlook the less obvious ones. What’s the topic or setting of your book? Who are the characters? Who’s the audience? What’s the message? What’s your genre? Now… which bloggers cover those things? Find the bloggers unique to these elements.
Once data has been collected, you will need to reach out to the virtual media web. Inform media contacts of the time frame for the virtual tour, and book spots just like in a traditional tour. Once spots are booked, prepare for interviews in traditional ways. Some spots will be very short (30 seconds). Others might range up to an hour. Preparation should be extensive. Once you have booked a tour, and while you are preparing for it, it’s time to create a personalized tour page on your personal blog. Here is where you will post the tour schedule, book cover, and a way to order your book. Advertise on your tour page by creating a banner that will be posted on your website and Facebook. Fire up your network and get a folks out on the social networks to share the news of your tour.
You can drum up participation in your tours in other ways. You might host a game on your blog and reveal clues at each interview. Or you might give an obvious prize, such as a free book. You could also sweeten the pot by offering a Kindle with a book copy on it. Another idea is to have a treasure hunt that involves geocaching and tour participation. A piece of advice: don’t give away big prizes unless you know the tool will do the job that you want it to. If you are only going to stir up your mom and her book club, just give the book.
Finally, you must ride the wave of the whirlwind tour. It’s possible to book many spots on a virtual tour. An organized author could land 50 spots in a week. Finally, when the tour is completed, thank-you notes must go to all participants signed by you. Remember: leaving a good vibe in everyone’s mind is all about laying a foundation for the next tour.

VIRTUAL SATELLITE MEDIA TOURS AND HOW THEY WORK

With changing safety regulations and our effort to #stopthespread, the development of virtual satellite media tours (VSMTs) have been instrumental in delivering clients’ stories to the media. Satellite Media Tours have always been a staple in the media relations business, but the virtual aspect of the Virtual Satellite Media Tour has made a huge impact in broadcasting during the COVID-19 pandemic. A few days before the tour, a Zoom link is provided to you and the stations that scheduled interviews. - Conduct the interviews in a quiet room that is well-lit and has balanced lighting, ideally with a background similar to a traditional SMT studio, such as a library, office or kitchen, depending on the topic
- Use a laptop or tablet with a camera, preferably with a camera at the top of the laptop, not at the bottom
- Ensure a strong internet signal, with a minimum internet upload speed of 3MG, although 5MG is preferred
- Use earbuds for outbound and inbound audio

When the world changed during the COVID-19 pandemic, we saw an extraordinary shift in our broadcast public relations industry, and quickly learned that PR had a whole new meaning: Pivot Rapidly. Within days of the shutdown in March 2020, many clients postponed and/or canceled long-planned Satellite Media Tours (SMT) and Customized Media Days (CMD) in rapid succession. We had to quickly digest that information and its impact on our company, and figure out a new way forward. At the same time, we had an equal number of media outlets reach out desperate for quality content. News producers and reporters were, many for the first time, working from home and needed stories with unique perspectives surrounding the pandemic AND many needed to be able to conduct and record the segments from home. There was still a need, and we quickly developed a new tactic: Virtual Media Tours.
Within two days of taking our company remote and several days before mandatory stay-at-home orders, we developed, tested and started marketing our Virtual Media Tours (VMT.) VMTs work much like SMTs with back-to-back interviews. We handle all the bookings, technical elements and follow-up/reporting. The key difference is interviews are conducted using a mixture of Skype, Zoom and satellite with a spokesperson at home. The spokesperson simply connects with our studio using Skype and we do the rest. Our clients watch everything via a virtual green room livestream so they can provide real-time feedback to the spokesperson.
Producing interviews via Skype and Zoom isn’t a new concept – we typically have a few on each media tour. But producing a full morning of 20-25+ interviews back-to-back in rapid succession with crew and clients spread out over five or more states has quickly become a game-changer for not only our company but for clients and media contacts.
If you are considering a VMT, here are three tips to keep in mind:
- Be flexible with timing. Rather than limit your VMT to a 4-5 hour time frame, make your spokesperson available throughout the day (or across several days) to accommodate various media outlets.
- Do several tech tests with your spokesperson to ensure proper internet speed and to work out an optimal background, best lighting and make sure the picture and audio are clean.
- Now, more than ever, provide solid ‘news you can use.’ In addition to stories about online shopping/scams, protecting your money and medical-related topics, we continue to see lifestyle tours about home schooling, entertaining kids, unique recipes, etc. work very well.
While we may soon be able to travel and head back to our offices, we don’t anticipate everything going back to the pre-Covid-19 days. And while we hope to get back to our professional videography, hair and make-up artists and beautiful locations, the ease and convenience of conducting interviews quickly from any location is likely going to be an ongoing part of our PR lives moving forward.
