Make the most of your virtual tour: Strategies that drive engagement

Madeleine Rhyneer

When I worked on campus, one of my favorite interactions was greeting admitted students and their parents when they arrived to take a tour. Their excitement was palpable, and you could see them falling in love with our institution as they explored campus and got to know our community.

This spring, things are different. With campuses closed, many students and their parents are reconnecting with your campus or getting their first impressions virtually. More than ever, colleges and universities are leveraging virtual campus tours to enhance connections with admitted students, build relationships with future classes, and remind current students why they should return to campus.

The numbers speak for themselves. Google searches for “virtual campus tours” increased 2x in the past month. And, in that same timeframe, 1.4 million people viewed one or more of our YouVisit virtual tours. As student interest in virtual visits grows, here are some best practices to help your tour stand out and increase student engagement throughout the admissions funnel.

High school seniors are taking virtual tours at a rate 228% higher than they were at this time last year

High school juniors are viewing virtual tours at a rate 258% higher than they were at this time last year

High school sophomores are viewing virtual tours at a rate 204% higher than they were at this time last year

Make sure your virtual tour is widely accessible across your site

While search volume for “virtual campus tours” has skyrocketed, some students and parents may not be aware of opportunities to visit campus virtually. To make sure as many people as possible find your virtual tour , embed it on your institution’s homepage. And consider including a virtual tour link in your website’s navigation bar, allowing visitors to take your virtual tour from any part of your website. Including the tour link in your website’s header and footer will also help it stand out and improve access.

In addition to embedding the virtual tour on key pages like your admissions and admitted students landing pages, think about other places students might go expecting to see campus images such as your athletics or residence life pages. One of my favorite virtual tour capabilities is the ability to launch your tour immediately from a destination of interest. For example, students browsing your College of Engineering’s landing page could click into a virtual tour and be transported immediately to a tour of the College of Engineering.

virtual tour media

Promote your virtual tour across all marketing channels, especially via email and social media

Promoting your virtual tour across marketing channels drives tour traffic, and it engages Gen Z in the kind of immersive experiences students crave. For example, some admissions teams place their virtual tour link in their email signatures. Some enrollment leaders I spoke with in the first few weeks of the COVID-19 crisis were skeptical students would respond to email marketing. We’ve found email open and click-through rates have remained steady throughout the COVID-19 crisis, and response rates are 17% higher than they were for similar emails sent this time last year.

Another great way to amplify your virtual tour impact is through social media channels. Many of our partners enjoy success installing a virtual experience link on Facebook, starting a virtual tour hashtag on Twitter, or promoting their virtual tour in an Instagram story. And while your prospective freshmen are more likely to use these social media channels than LinkedIn, a post promoting your virtual tour on LinkedIn will re-engage alumni with your campus.

Ensure your virtual tour is just the first step in a student’s engagement

Virtual tours help reveal stealth activity, so it’s important to have an effective inquiry collection experience within your tour. A conversational inquiry form like those embedded in YouVisit virtual tours give personalized prompts as the visitor moves through the form. These forms generate two times the number of inquiries and give enrollment teams insight that helps them convert interest into intent.

It’s also key to use inquiry data from your virtual tour in your marketing and communication campaigns. Tagging your website so that you can track conversions and interactions after a student completes the tour allows you to personalize future communications with that student.

To drive the most traffic to and engagement with your virtual tour:

1. Embed or link to your virtual tour on your website’s homepage, in the navigation bar, and in the header and footer to ensure students don’t overlook a chance to tour your campus 2. Drive awareness by connecting your virtual tour to all your marketing channels 3. Make sure your tour prompts students and parents to engage further and use their web page visits to understand more about their interests and goals

While it seems counterintuitive, students who take virtual tours are more likely to visit campus in-person than those who do not. I look forward to the day we can welcome students and families back on campus for more of those falling-in-love moments. Nothing replaces experiencing a campus in-person, but a virtual tour is the next best thing.

6 Ways to Integrate Virtual Tours in Your Social Media Marketing

6 Ways to Integrate Virtual Tours in Your Social Media Marketing

COVID-19 has shifted the marketing landscape. Behaviors acquired this year, largely connected with a more digital economy and communications landscape, are not just temporary but here to stay for the long run. Organizations across industries are adjusting accordingly, especially in regards to their social media marketing strategy.

Virtual tours applied the right way, can improve the online presence of organizations in a wide range of industries. In higher education, campus tours can help with student recruitment. Patients will appreciate a preview of the physical hospital space they’re about to visit. Hotels and attractions, meanwhile, can stand out among their competition for prospective tourists and travelers. All of these benefits only rise in importance with a shift to more digital culture and landscape.

And yet, they’re only the beginning. The effectiveness of virtual tours is not isolated to your website. Applied correctly, they can have an immense effect on your entire digital strategy, including social media.

Like so many other digital channels, social media has risen in popularity over the last few months. Instagram, for instance, reported a 70% increase in video views this summer. Across networks, engagement almost instantly increased by 10%. With social media marketing continuing to increase in importance, consider these 6 ways to integrate your virtual tours into your social strategy.

1) Build Visual Engagement Opportunities

Social media is, above all, a visual communications tool. Studies show again and again that even something as straightforward as including photos or videos dramatically increases user engagement . It’s especially true on networks like Instagram, which are built entirely on visuals.

That makes posting about your virtual tour a perfect fit for this medium. And, in fact, it can be that easy: simply share your tour on your preferred social media platforms at strategic times for your audience and within your content calendar .

Depending on the tour creator and platform you use, this might be easy or complex. Ideally, your virtual tour should have a ‘share’ button to spread the word.

2) Share Individual Tour Stops

Depending on the software, you can go beyond sharing the entire experience on social media as well. In fact, you can share individual tour stops and even individual media to your social media channels for more targeted reach and engagement on social media.

This is especially relevant for multi-entity organizations. For instance, your university’s business school may be more interested in sharing the tour stop featuring its stand-out building than the tour as a whole. Of course, even as the direct link points towards a single stop, the audience still gets exposed to the larger tour anytime they click on that link.

The same concept, though, remains valid for any type of organization. If nothing else, it expands your pool of content for potential posts. Given how frequently experts recommend posting on social media for maximum engagement, that extra content can become an important piece of your content calendar.

3) Post Condensed Videos of Your Tour

You can build more complex engagement opportunities than simply sharing your tour on social media. One option is to give your audience a preview of what to expect when they view and engage with it on your website.

Most virtual tours, of course, are built-in formats that are more complex (and interactive) than a simple video you could share directly on your social channels. But there’s a way around it.

For instance, consider using a simple screen recording tool that captures what you see on your screen. Then, record yourself moving through your virtual tour. You can now turn that recording into a preview video, whether it be through a time lapse that condenses its length and adds visual appeal or by showing only a stop or two.

A great way to do this is through the screen recording platform, VEED. VEED is best for anyone–Windows, Mac, or Linux Users–who wants a powerful and free online screen recorder and editor with no video duration limits. VEED will help you edit, share, and manage your screen recordings all in one website. Check out their blog to learn four easy ways to record your screen with the best video quality.

With this technique, you get the engagement. Now, all you need to do is include a link to the full tour in the video captions, so those interested enough to learn more can easily do so. Just like that, you’ve created an internal engagement opportunity that still maximizes exposure for your full tour.

4) Leverage Social Media for Storytelling

Brand storytelling has become a buzzword in social media circles in recent circles, and for good reason. Research has shown that audiences who love a brand’s story become 55% more likely to buy from that brand, and 44% more likely to share its content.

Social media is a natural fit to tell your brand’s story in a humanized, personal way. Brands like Dove, Apple, and Airbnb have adjusted their social media marketing strategy accordingly , focusing on stories to drive awareness and persuasion.

Here’s a secret: your virtual tour can play a core role in taking a similar approach. After all, what is a well-built tour if not an opportunity to tell your story? By showcasing your physical space , you can:

 • Talk about your organization’s history.
 • Offer behind-the-scenes looks into your organization.
 • Tell a product or service’s origin story.

That’s all true for your website, but it’s just as crucial on social media. In fact, as you promote your tour on your social channels, highlight these exact things in your captions or the exact content you’re sharing. That expands your storytelling beyond your website, bringing it to the medium in which your audience most looks for it.

5) Drive Conversations About Your Tour and Business

The opportunity for social interaction social media affords brands in reaching out to audiences. Virtual tours allow you to create a “hook” that drives these conversations and prompts your audience to interact with you.

You can create and prompt these conversations in a few different ways:

 • Posting tour-related content under a general hashtag specific to your audience or industry.
 • Ask your audience to share their own experiences for the physical spaces. For example, show a university’s student center that you’re showcasing on the tour.
 • Prominently showcase your social media ‘share’ options for your audience, so they can create their own posts focused on the tour.
 • Ask your audience for feedback on the type of content you should include in future iterations of the tour.

Of course, those are only some ideas to leverage your tours for engagement. Your virtual tour becomes a starter for a conversation that you can drive and manage. However, it’s just as dependent on your audience to keep going.

6) Connect Tour-Related Social Posts With Larger Contexts

Finally, social media marketing offers a prime opportunity to link your virtual tour into a larger context in which it becomes even more relevant. That sounds abstract, but can take a number of shapes depending on the contexts and events in which you (and your industry) typically communicate:

 • Universities may want to highlight their tour as part of a larger communication plan.
 • Hospitals may leverage their virtual tours as part of an open house or virtual open house. Thus, showcasing their facilities to a new level of the audience.
 • Hotels may look to showcase their spaces as part of a larger event within the area in which they’re located.
 • Event and conference spaces may look to link their tours into typical dates in which event organizers typically book facilities to increase their engagement.

The possibilities here once again range widely. We’ve seen organizations post their tours on social media as they were sending emails about the same topic, linked them together with other content related to the same context via hashtags, and more.

On social media, every piece of content works better if it gets connected to a larger web of engagement opportunities. The virtual tour, freed from its constraints as a web-only communications tool, can allow you to do just that.

How to Start Integrating Virtual Tours in Your Social Media Marketing

In short, regardless of how you look to connect your virtual tour to your social media marketing efforts, the benefits tend to be both mutual and exponential. Every link between the two helps you better engage your audience and increase brand awareness.

Social media benefits from virtual tours because they are the perfect type of content for its medium and algorithms. Virtual tours, meanwhile, benefit from social media to get the word out and increase audience attention. Together, they’re a power couple destined to push your digital marketing efforts forward.

Of course, it all depends on the effective integration of your virtual tour with your social media marketing strategy. That begins with finding a platform that makes this integration easy, through intuitive sharing opportunities and content. Contact us to learn more about our platform, and how we can help you optimize your virtual tours for just that purpose.

FAQ: Virtual Tours

Here are some of the common questions we see about virtual tours of museums, zoos and parks.

What are virtual tours?

Virtual tours are online galleries of famous attractions such as zoos, national parks, and museums. These experiences often consist of online exhibitions, videos, 360 degree and satellite photography, and virtual reality elements. Some tours may also include a facilitated live experience with a guide.

What are the best virtual tours?

The best virtual tours tend to include an interactive element. For example, the tour could be a live experience led by a guide and include trivia, polls, or other forms of engagement. These online tours are the best because they focus on the visitor experience.

How much do virtual tours cost?

Virtual tours are available at a variety of costs, ranging from free to $5 per person, $50 per person and upwards. We recommend starting with some of the free tours to see what your group likes and benefits most from. Then, you can invest in one of the paid options.

How do virtual tours work?

Virtual tours take place on online platforms such as Zoom, Google Street View, or custom software. Users login solo or as a group, and follow along with either a live or automated guide to learn about the tour stops.

Media Tour: What is a Virtual Media Tour Exactly? - article

A virtual media tour is like a traditional media tour, except you don’t generally have to get out of your pajamas. Virtual media tours include bloggers, radio stations, podcasters, and webcasters. Tours begin with research. You must find all the blogs, radio shows, podcasts and webcasts that connect with your content. These media outlets include the obvious ones, such as book reviewers and book bloggers. But don’t overlook the less obvious ones. What’s the topic or setting of your book? Who are the characters? Who’s the audience? What’s the message? What’s your genre? Now… which bloggers cover those things? Find the bloggers unique to these elements.

Once data has been collected, you will need to reach out to the virtual media web. Inform media contacts of the time frame for the virtual tour, and book spots just like in a traditional tour. Once spots are booked, prepare for interviews in traditional ways. Some spots will be very short (30 seconds). Others might range up to an hour. Preparation should be extensive. (NOTE: review some other great articles here on the Author Learning Center. We have several about preparing for interviews)

Once you have booked a tour, and while you are preparing for it, it’s time to create a personalized tour page on your personal blog. Here is where you will post the tour schedule, book cover, and a way to order your book. Advertise on your tour page by creating a banner that will be posted on your website and Facebook. Fire up your network and get a folks out on the social networks to share the news of your tour.

You can drum up participation in your tours in other ways. You might host a game on your blog and reveal clues at each interview. Or you might give an obvious prize, such as a free book. You could also sweeten the pot by offering a Kindle with a book copy on it. Another idea is to have a treasure hunt that involves geocaching and tour participation. A piece of advice: don’t give away big prizes unless you know the tool will do the job that you want it to. If you are only going to stir up your mom and her book club, just give the book.

Finally, you must ride the wave of the whirlwind tour. It’s possible to book many spots on a virtual tour. An organized author could land 50 spots in a week. Finally, when the tour is completed, thank-you notes must go to all participants signed by you. Remember: leaving a good vibe in everyone’s mind is all about laying a foundation for the next tour.

That’s a virtual media tour in a nutshell. Perhaps you should give it a try.

NOTE: If you want other great information on tours (the non-virtual type), review other great articles here on the Author Learning Center, including “Media Tours: An Overview for Newbies”, “How do you organize a traditional media blitz in your hometown?”, and “Media Tour: What is a traditional media tour exactly?”.

virtual tour media

With changing safety regulations and our effort to #stopthespread, the development of virtual satellite media tours (VSMTs) have been instrumental in delivering clients’ stories to the media. Satellite Media Tours have always been a staple in the media relations business, but the virtual aspect of the Virtual Satellite Media Tour has made a huge impact in broadcasting during the COVID-19 pandemic. According to Atomik Research , our in-house research division, more than half (56%) of Americans say they are watching more local TV news, highlighting the importance of VSMTs.

A few days before the tour, a Zoom link is provided to you and the stations that scheduled interviews. This ensures that stations have the link prepared and that the spokesperson can rehearse the virtual tour. Our team can then evaluate the spokesperson’s setup, making sure the lighting is good, the internet speed is sufficient, and the audio is high quality.

On the day of the tour, you and the spokesperson each can join the Zoom link that was provided for the rehearsal. A new room is established, guided by the engineer’s instruction, followed by a final check of the spokesperson’s background, lighting, audio , and strength of the signal. Once the tour begins, our producer informs the spokesperson which outlet and reporter they are speaking with next, the length of the interview, and whether it is for tv or radio. In between interviews, you can unmute yourself and give feedback to the spokesperson.

Some best practices for Virtual Satellite Media Tours include:

 • Conduct the interviews in a quiet room that is well-lit and has balanced lighting, ideally with a background similar to a traditional SMT studio, such as a library, office or kitchen, depending on the topic
 • Use a laptop or tablet with a camera, preferably with a camera at the top of the laptop, not at the bottom
 • Ensure a strong internet signal, with a minimum internet upload speed of 3MG, although 5MG is preferred
 • Use earbuds for outbound and inbound audio

Taking into consideration the newsworthiness of your organization’s message, the ease and frequency of using Zoom, and the safety recommendations in place, VSMTs are an ideal solution to ensure your story still gets the attention it deserves.

Innovation and creativity in our industry has never been more crucial, for clients as well as ourselves. If you have a story to tell and you would like to learn more about our Fully Virtual Satellite Media Tour, please don’t hesitate to contact us .

Virtual Media Tour

Virtual Media Tours are here to stay. VMTs use Skype or Zoom to connect a spokesperson to media around the world. Here are some key learnings and tips for a successful Virtual Media Tour.

Virtual Media Tour

When the world changed during the COVID-19 pandemic, we saw an extraordinary shift in our broadcast public relations industry, and quickly learned that PR had a whole new meaning: Pivot Rapidly. Within days of the shutdown in March 2020, many clients postponed and/or canceled long-planned Satellite Media Tours (SMT) and Customized Media Days (CMD) in rapid succession. We had to quickly digest that information and its impact on our company, and figure out a new way forward. At the same time, we had an equal number of media outlets reach out desperate for quality content. News producers and reporters were, many for the first time, working from home and needed stories with unique perspectives surrounding the pandemic AND many needed to be able to conduct and record the segments from home. There was still a need, and we quickly developed a new tactic: Virtual Media Tours.

Within two days of taking our company remote and several days before mandatory stay-at-home orders, we developed, tested and started marketing our Virtual Media Tours (VMT.) VMTs work much like SMTs with back-to-back interviews. We handle all the bookings, technical elements and follow-up/reporting. The key difference is interviews are conducted using a mixture of Skype, Zoom and satellite with a spokesperson at home. The spokesperson simply connects with our studio using Skype and we do the rest. Our clients watch everything via a virtual green room livestream so they can provide real-time feedback to the spokesperson.

Producing interviews via Skype and Zoom isn’t a new concept – we typically have a few on each media tour. But producing a full morning of 20-25+ interviews back-to-back in rapid succession with crew and clients spread out over five or more states has quickly become a game-changer for not only our company but for clients and media contacts.

virtual tour media

If you are considering a VMT, here are three tips to keep in mind:

 • Be flexible with timing. Rather than limit your VMT to a 4-5 hour time frame, make your spokesperson available throughout the day (or across several days) to accommodate various media outlets.
 • Do several tech tests with your spokesperson to ensure proper internet speed and to work out an optimal background, best lighting and make sure the picture and audio are clean.
 • Now, more than ever, provide solid ‘news you can use.’ In addition to stories about online shopping/scams, protecting your money and medical-related topics, we continue to see lifestyle tours about home schooling, entertaining kids, unique recipes, etc. work very well.

While we may soon be able to travel and head back to our offices, we don’t anticipate everything going back to the pre-Covid-19 days. And while we hope to get back to our professional videography, hair and make-up artists and beautiful locations, the ease and convenience of conducting interviews quickly from any location is likely going to be an ongoing part of our PR lives moving forward. We are thrilled to have been among the first to offer this new tactic and would love to help you with your broadcast communications. Please let us know if you have a potential tour you want to discuss. Brainstorming is always free and we are ready when you are!
