When it comes to providing an exceptional experience for guests, there are many things a tour guide should consider.

Aside from crafting funny stories, a long list of facts, and secret destination tips, tour guides should come prepared with everything they need to stay organized and provide an exceptional guest experience.

It can be overwhelming to decide which tour guide supplies will be helpful for your business. There are numerous tools and technologies available — how do you choose what works best for your business?

Not to worry. We’ll walk you through some of the top tour guide tools available and a few things you’ll want to consider when selecting them.

Why you should use tour guide tools

What are the benefits of using tour guide tools?

Well, they make your job easier for starters. There are many helpful supplies and technologies that will assist you every step of the way, from managing bookings to organizing your tour and beyond.

Having a select set of tour guide supplies will help you stay organized, keep your visitors safe, and ensure your tour runs smoothly while providing value to guests.

From first aid supplies to helpful apps, the tools you do (or don’t) have on hand can make or break your guests’ experience.

Our favourite tour guide essentials

Let’s get right into the essentials that every tour guide needs. Some tour guide supplies are universally beneficial. Your top priorities as a tour guide are to keep you and your guests organized and safe during the tour.

These three tour guide essentials help you do just that:

1. First Aid Kit

Whether you offer walking tours, rentals or activities, a first aid kit is a must-have for any tour guide. Depending on the experience you provide, this can range from a basic kit with just the essentials to a more robust kit with a variety of medical supplies.

It is always best to be prepared for anything that could happen during your tour. Your guests’  safety and comfort will be taken care of if you carry this important tour guide supply with you.

Pro tip: Add a contact card for your local emergency services to your kit for quick and easy access.

2. Voice Amplifier

It can be a strain to talk for long periods of time, especially when you’re projecting your voice to a larger crowd. Consider using a voice amplifier, such as a wireless microphone.

You can customize the volume based on the group size so your voice is at the perfect volume, every time.

A bonus? This tour guide essential makes your tour more accessible to a wider range of people, as they’ll be able to hear your more clearly.

3. Business Cards

Happy guests are going to want to share their experience with others and encourage them to participate in your tour.

Don’t miss out on word-of-mouth marketing. Carry business cards and share your Instagram or Facebook handle so your guests can easily share your information with others.

Take it to the next level by adding a QR code that links directly to your social media channels and website, where guests can conveniently leave a review instantaneously.

Must-have tour guide technology

Technology is an incredibly helpful tool for any tour guide and there is truly something for anyone.

Tour guide technology can range from the basics, such as navigation apps and cameras, to fully customizable options, like online bookings. Here are our top recommendations for tour guide technology:

1. Smartphone

Smart phones are arguably one of the most important tour guide tools. A mobile phone offers ease of communication, a camera, navigation device, check-in tool, and so much more. Virtually every app and organizational need are available at your fingertips with a smartphone.

2. Mobile Apps

With the numerous apps available to us, there are plenty of ways to use them to enhance your tour. Need to check the weather before you head out on your trek? A weather app makes this possible.

Navigating a new area of the city? Choose a map app. (Helpful tip: download offline maps so you can access them even without WiFi.)

Going camping in the wilderness? Break out a stargazing app and wow your guests. No matter what value you want to add to your tour, there is likely an app for it. Here’s a list of our recommended apps for tour guides and operators:

  • Google Maps
  • Google Translate
  • Weather Network

3. Portable Bank Charger

Eliminate any fear of losing your most helpful tool with a portable phone charger. Having this handy item in your collection of tour guide supplies means you’re never left without your connection to bookings, maps, apps and anything else you (or a guest) might need.

Consider bringing along extra cables to offer to any guests who may be running low on battery — they’ll be impressed at your consideration of their needs. And, if your phone is charged it means you’re always camera-ready.

Many travellers agree that tour photos make the best souvenir and can bring back memories of their experience for years to come. Some tour operators will opt for a high-quality, mirrorless or DSLR camera depending on their photography skills.

Make your tour extra memorable by snapping photos and/or videos throughout the experience to share with your guests after their tour.

Don’t feel like you have to splurge on a professional camera, just focus on capturing well-framed images in great lighting that guests will get excited about. Images like these help to sell the experience to future guests and are a powerful tool when it comes to online bookings.

5. Booking tools

Between managing bookings, organizing your supplies, and running the tour itself, keeping organized when you’re running a tour business can be challenging.

Move away from pen and paper and availability back and forth with an online booking platform. This key tour guide tool offloads some of your administrative work, by taking care of booking details so you have more time to focus on what truly matters — your guests’ experience.

Tour guide tools for crafting the perfect tour

There are many qualities of a good tour guide , including stocking up on helpful tour guide tools, but the most important part of the experience is you.

Your customers want to connect and learn from you and your experience. Enhance your knowledge and experience with the following tour guide essentials:

When conducting a tour, you’re telling the story of the location that you are at. It is important to have a tour commentary introduction that instantly captures the interest of your guests and makes them excited about the experience they’re about to share with you.

A good script has the following qualities:

  • Addresses important topics
  • Bookends points of interest
  • Addresses any questions
  • Showcases your enthusiasm
  • Leaves guests feeling inspired

2. Education

Elevate your guests’  experience by increasing your expertise over time. There are many tour guide resources available that offer helpful insights on topics such as ‘tour leading essentials’ or up-and-coming tourism practices like ecotourism.

Keep learning and you’ll provide an invaluable experience to your guests.

Additional considerations when choosing your tour guide supplies

Before adding everything to your packing list, there are a few different aspects of your tour to consider.

Tours vary in many ways — from the length of time to the type of experience, to the target audience and more. As you choose your tour guide tools, consider the following:

1. Accessibility

How can you make your tour accessible to a wider range of guests? A voice amplifier or wireless microphone, for example, not only allows you to project your voice to a larger audience but will make your tour more accessible for guests who might struggle to hear you over background noise.

Another option is to include larger or more visually-centric printouts to make it easier for guests to follow your tour route.

2. Environment

Are you trekking through the jungle, walking through a bustling city, or paddling along lake waters?

The type of experience you’re offering drastically impacts which tools may or may not be helpful for both you and your guests. Account for changes in weather, solutions for navigating and hiccups that might derail your guiding experience with the tools you carry with you.

3. Small but thoughtful details

Go above and beyond by anticipating your guests’ needs and bringing along supplies to care for them. On a food tour? Consider carrying wet wipes and napkins for any potential messes.

Spending time in the sun? Bring along some extra sunscreen for those who may have left theirs at home. Small gestures go a long way and leave a lasting impression on your well-cared-for guests.

Final thoughts

As a tour guide, your goal is to provide a truly unforgettable experience for your guests. Aside from your personality and expertise, these tour guide tools will help make your job easier while providing an exceptional experience for your guests.

8 must-have gadgets for a busy tour guide

If you are a tour guide, then you are most likely one very busy person. Your days will be full of meeting new people, keeping said people as safe as possible, and providing an incredible, memorable experience over and over again. It’s one of the most rewarding jobs in the world, but it's also very demanding, especially during the high season.

In every part of our lives, gadgets are continually being developed to make things that little bit easier. For tour guides, it's no different, and to make your life even easier, I have researched and whittled down the must-have gadgets for you.

Here are 8 gadgets that every busy tour guide should have:

Get your free checklist on the 10 qualities every tour guide should have:

New call-to-action

1. The right phone

It’s an obvious gadget to start with considering 67% of the entire population have mobile phones, and we spend on average 4 hours a day using them. But, is your mobile phone right for a tour guide ?

There are so many phones on the market to choose from, and the included features can vary. Below are just a few features to consider when selecting the right handset for you:

zach-meaney-248676-unsplash

Think about what photography options would be most beneficial to you.  If your tour has incredible views or you sell/share photos with your customers, then you need a phone with a high megapixel camera. If your tour includes looking for things in the distance, such as bird watching, then you may need a quality zoom that won’t blur the image. If you offer a stargazing trip, then your camera needs lighting options for evening shots.

  • iPhone or Android

Check that your phone is one of these to be able to download apps from iTunes or Google Play.

To add photos, videos, music and apps, you will need to have the right amount of storage. Some handsets have built-in storage only, and others have the option to add a memory card. Look at how much space you will need.

In my opinion, the most simple but useful tool to have on a mobile phone. Having a flashlight could be helpful to you for cave tours, evening trips, or when you are packing up for the day.

2. Useful apps

Now that you have the right phone, it’s time to fill it with apps that will help you out with your tours & activities.  With around 2,000 new releases every single day, t here are apps available for almost everything . Finding the right apps that work for you will take time.  Here are few of the most popular apps for tour guides to get you started:

Safety Apps

  • Weather

Accuweather  is a universal app that provides up to the minute weather reports and current conditions. For those tours that can be impacted by wind, storms and waves, Windfinder is an app perfect for kitesurfers, windsurfers, surfers and sailors.

  • Location

Polaris GPS Navigation is a very highly rated navigation platform with over 30,000 user reviews. If you have a team of tour guides to keep track of, you could use the  Find My Friend  app which will show the location of each guides mobile device.

  • Water Levels

For kayaking, fishing or rafting, River Data monitors conditions at over 20,000 spots across the world. For those who rely on the tide or current for their tours, check out Tides Near Me  for up-to-date information.

The  St Johns Ambulance First Aid app assist in most situations including CPR. The Offline Survival Manual  is useful to have if you offer outdoor tours or camping.

Sharing Apps:

  • Social Media

Make sure you download social apps to promote your tours on the go. The most popular are Instagram, Facebook and Twitter.  Here are tips on how to showcase your tours using social media .

  • Track Your Trips

Trip Journal is an app where you can record, document and share your trips with like-minded travelers.

3. Bookings & payment tools

App

Ditch the paper schedules and make your life easier with a booking platform accessible by mobile. Obviously, I'm going to talk about the TrekkSoft app as we know our tour guides love it!

Having an app linked to your online booking system will allow you to stay on top of your tours . You and your fellow guides can work remote and still know what's going on across all bookings.

With your mobile, you can avoid missed booking opportunities by  taking new bookings and making any changes on the move. You can  receive payments for tours  from your phone, check-in guests on arrival to your tour and validate any tickets using QR codes.  Your app can also be accessed by sellers and partners of your tours to check availability and make bookings themselves.

4. A protective phone case

Now you’ve got your all-singing all-dancing phone; you need to protect it against every element your tour could throw its way. Around 45% of smartphones are accidentally damaged each year , 36% by water damage.

I’ve got a personal recommendation for this gadget, and its the Lifeproof FRĒ case. This case is submersible in up to 2 meters of water for 1 hour and is sealed from dirt and dust, closed to snow and ice, and drop proof from heights of 2 meters. With every single case going through the waterproof test before it arrives at your door, plus a 1-year warranty, you've got the extra piece of mind knowing that your phone is protected. When you remove the case, you will  have a brand new mint-condition phone.

The only minor downside with this case is that your camera is covered to be protected, which can slightly reduce the quality of your images. If photography is essential and being waterproof isn't, then look for a screen protector or a protective travel bag for your handset.

5. On the go power bank

When out and about, you will be using your phone for various photo opportunities, taking bookings and providing the music playlist on the travel journeys. Overuse can drain the battery, and it's vital you have your phone working at all times, especially in case of an emergency.

A solar power bank is ideal if you spend a lot of time outdoors. It can charge when you have UV light, or you can pre-charge the bank for use at a later time.

Charging phone cases  or power banks work as an extra battery for your phone and are handy to keep with you just in case. Just don't forget to charge them and keep them safe.

If you have to drive to reach you tour destination, then a  car charger  might be the right option for you. You can have your phone charging while you play music, and you don't need to charge the charger.

lucas-favre-534004-unsplash

6. Go Pro Actioncam

You could record video footage of your tours on a mobile phone or camera, but nothing compares to filming on a GoPro . Designed purely for adventure a Go Pro is the ultimate tool for capturing and sharing your tour experience.  You don't need to be a filming expert to create excellent quality footage.  Releasing updates yearly there is a range of cameras to choose from depending on your budget and requirements .

Here are some things I love about GoPro cameras:

Ability to change the screen size, giving extra angles to your work

Voice activation to take a photo or video so you can record hands-free or attach to a mount prior

GoPro mobile app to download and view photos on your mobile if you can't wait until you get home

A range of mounts to choose from to be creative when filming

7. SmartWatch

These watches are so advance that they can track your tour routes, altitude, pace and distance. Specific models can share the sunrise/sunset times, and recognize a drop in air pressure to alert when a storm may be approaching. Others are dedicated to particular sports, such as paddleboarding, and can create competitions with others who are using the same device. With almost all, there is also the option to track your heart rate when required, although this can usually drain your battery charge.

For a tour guide, having notifications on your mobile phone come directly to your SmartWatch could save stop time or missing an important message or call.

To find the right SmartWatch to support your tours & activities, check out this  2018 outdoor GPS smartwatches comparison .

lloyd-dirks-421637-unsplash2

8. A personal voice amplifier

Lastly, if you are hosting walking tours, safety briefings or training sessions, a personal voice amplifier will be very helpful. Everyone in the audience will be able to hear you clearly, without having to raise or strain your voice, which will avoid repetition or miscommunication. This will be particularly useful for tour guides with several groups each day, or when tours are in busy locations.

There are quite a few voice amplifiers to choose from, with different speaker sizes, volume control, headsets and attachments. Here is an article on the 'Top 10' voice amplifiers in 2018 to help with your decision.

These are the top gadgets on our list. If you have any recommendations for gadgets that have assisted you as a tour guide let us know. We'd love to check them out!

Top 6 Must-Have Travel Gadgets for Tour Guides

If you are a tour guide, there are certain gadgets you might want to take on your next trip to make your job easier. Travel gadgets and technology makes travel more comfortable. Whether you’re taking a long tour or just a quick sightseeing tour around the city, it might be a good idea to have some of these travel gadgets for tour guides in your backpack.

A tour guide doesn’t necessarily have to carry more travel gadgets than an average traveler. Pack lightly but wisely. You come across so many tour guides unprepared to lead a group because they are lacking proper tour guide travel gear . You don’t want to be one of those, now do you?

Many people believe that technology is replacing the need for tour guides. But that couldn’t be further from the truth. What’s important is that travel businesses should use technology to their advantage. You would be probably lost if you didn’t use your mobile devices on the road to fill out paperwork, receive emails, and keep track of your schedule.

Essential Travel Gadgets for Tour Guides

You might be one of those tour guides that likes to pack light and that’s perfectly fine.

Travel Gadgets for Tour Guides

Keep in mind where you are going and what kind of tour you’re organizing. To best showcase your tour guide talent, you’re going to need a few tour guide gadgets and accessories to help you on your way. Here’s a list of some of the essential travel gadgets for tour guides.

1. Every tour guide should pack a power bank charger

Today’s phones are not like your old Nokia 3310. The battery doesn’t last an entire week; a day, at best. If your battery dies, how are you going to make phone calls? Go online? Arrange and coordinate group discounts for museums?

It’s always a good idea to switch the settings on your phone to the power saving mode option. But when you drain your battery entirely? Well, that’s where portable power chargers come in handy.

Travel Gadgets for Tour Guides - Power Bank

Have in mind that there are different kinds of power banks out there on the market. If you’re on a budget, you can always go with the 5,000mAh or you can step up your game with a 50,000mAh. That’s going to cost you anywhere from $15 and up to $150+.

2. Never get lost with offline maps

So here’s the thing:

I know you believe in your keen sense of direction, however…  that can sometimes backfire.

If you’re not a local tour guide, it might be wise to download offline maps to your smartphone or tablet.

I know, I know, you know the city like your back pocket.

But even if you’ve been a dozen times in huge cities like New York, London or Paris, something always changes, especially in new neighborhoods.

Download the maps on your mobile device while on wi-fi and they will be ready for use the next time you need them. The advantage of having an offline map is that you don’t need to use your mobile data. Which is especially important if you are in roaming for example, or traveling through multiple countries.

Google Offline maps are the most popular and widely used. For instance, you can download maps of certain neighborhoods if not the entire city map. If you’re not a fan of Google Maps, you can use other applications like Map Factor , Sygic , Here WeGo , or Backcountry Navigator .

Maps like these are really useful because they don’t drain your battery as online maps do.

3. Enhance your storytelling skills with a voice amplifier

Imagine this:

You have a larger group and not all of them fit in the circle around you. You have to take into consideration that people at the back won’t be able to hear you clearly.

That’s a real bummer because that’s what they paid for and you tell such a great story they wouldn’t want to miss.

And no, I’m not saying you should yell or sound like Darth Vader over a megaphone. As a tour guide, you should communicate as clearly as possible and always work on your public speaking skills. Now, if you have the best speaking skills but half of the group can’t hear you, then what’s the point?Everyone should be able hear and understand the words that are coming from your mouth.

For that purpose, there are different voice amplifiers. I found a list of top five speech assistance devices that might help you get a better overview which one to choose.

Gadgets like these will save you from losing your voice and they come at a price of around $30.

4. Translation app to help you speak any language

Wherever you go, most locals speak at least a bit of English. But what if that’s not the case? For example, in China.

Language barriers can be intimidating, however modern-day technology takes care of this headache as well. By downloading one of the many translation apps, you can get around with a few local phrases.

Of course, it goes without saying that it would be best if you speak fluently the language of the country you’re leading a tour in. For example, if you’re taking a group from let’s say, Zagreb, Croatia on a two-day trip to Venice, Italy, it’s always better that you know at least a little bit of Italian to get your tour group around easier. In case you are unfamiliar with the language, translation apps become extremely useful.

You can use Google Translate for some basic translating which is free. For better and  more precise results, pick a voice-based translation app such as iTranslate Voice . You can find some free translation apps however, I’d say that anything that’s worth your while costs.

I’ve mentioned China a few paragraphs up. China is very special when it comes to finding someone who speaks English in Beijing. A vast majority of people don’t know a single word of English. The menus in a restaurant are in Chinese characters—logograms. You see the problem?

Best Travel Gadgets for Tour Guides - Translation App

But, there are apps that translate Chinese characters using a camera on your mobile device. The most popular are definitely Waygo and HanYou .

The same goes for languages which use the Cyrillic script, such as Russian, Serbian, Macedonian, Bulgarian, and other. You can use the Google Quest Visual Word Lens .

Now, if you really want to enhance your tour guide skills with some awesome tour guide gadgets, there are various AI devices that translate from more than 80 languages when online.

5. Use a tablet instead of a notebook and stay organized

Having a mobile device is a must-have for every tour guide. And okay, you have a mobile phone, but you might be reluctant to use it since the screen is too small.

With a mobile device such as a tablet, you’ll be able to better manage your travel itinerary, take notes as well as use it a topic reminder while talking about the sites you’re visiting.

The tablet is here to replace your notebook and a backpack full of notes and scribbles.

Additionally, you can use it as an entertainment and communication device. Especially when they are so thin and light. Plus, they are much cheaper nowadays. You can find a decent tablet under $200 .

Travel Gadgets for Tour Guides - Tablet

Bottom line, tablets are much more practical than laptop computers. The best thing about tablets is that they help you enhance your tour guide skills. Download all the useful applications we’ve talked about in the previous bullet points and see for yourself.

An additional benefit is that if you are using an online booking software to manage your tours and itinerary on the spot. You can login in at any time.

Let’s say you’re a tour and activity provider who also organizes and leads tours abroad.

Do you really want to carry an entire backpack full of paperwork?

Thought so.

Use the Orioly app to access all itineraries, invoices, taxes, terms and loyalty programs from a single interface while on the road. And the best part is, you can use Orioly to store customer information you can access at any time as well as manage bookings as you travel.

6. Smartwatch that helps you out with more than just timekeeping

Having an activity wristband or a smartwatch might be a cool add-on to your collection of gadgets for tour guides.

You do a lot of walking, so it might be useful that you keep track of your steps and heart rate. I’m sure you’ve heard of Fitbit, right? It’s a bit pricey and if you want the same functions, you pick a budget choice that’s Xiaomi Mi Band 2 for $20.

What about a smartwatch? Well, you are a tour guide that spends a lot of time outdoors, walking, touring, so it comes in handy to receive notifications.

Travel Gadgets for Tour Guides - Smartwatch

This just might be among the coolest gadgets for tour guides out there. Most notifications don’t require any action and it’s a hassle if each time you get a notification you have to reach into your pocket or bag to grab a phone just to see what’s up. With a smartwatch, you can only glance at your wrist.

Apart from that, it makes mundane tasks like setting up an alarm a piece of cake.

Are there any other awesome travel gadgets you use in your tour guide job? I’d love to hear what’s your opinion how to enhance tour guide skills .

Tour Guide System FAQs

A tour guide system is a wireless audio communication system used to communicate with an entire group simultaneously. It typically consists of a headset with a microphone and transmitter for the presenter (although handheld microphones can sometimes be used). Tour guests have headsets with receivers that allow them to hear the presenter loud and clear, even in noisy environments.

A tour guide speaks into a microphone to transmit their message wirelessly to a tour group. Guests wear earphones or headphones to hear the message. Some systems allow for interactive two-way communication with the touch of a button while others only allow the presenter to speak. Batteries are charged in a charging station and last for long periods of time.

Guided tours are conducted in a variety of settings, including manufacturing facilities, museums, historical sites, cruise ships, exhibit halls, demonstrations, college campuses, trade shows and much more. They can even be used for training, silent sessions and daily walkthroughs.

Yes. In particular, our ListenTALK system can be configured to accommodate language interpreters to listen to a presenter on one channel and communicate to international guests on another, helping encourage a diverse and inclusive tour experience.

A customized demo kit typically includes four pre-programmed transceivers with headset mics and accessories. Some tour planners, however, will rent a full system with multiple units as a test run before they decide to purchase.

5 Must-Have Gadgets Every Tour Operator Should Have

Being a tour operator is more than just running a business. You need to think ahead and be smart in order to stay ahead of other tour operations. Arm your tour guides with these essentials to make sure they are creating an experience your customers will love.

1. A Tablet and Cell Phone

It’s important for everyone on your team to stay in contact with each other, and to stay organized. Ordinary notebooks can help you to a certain extent with organization, but a tablet and smart phone for everyone on your team will make you more mobile, and more organized. You’ll also need one or the other for many of the apps needed to run a top tier tour company.

2. A Portable Charger

Tablets and cellphones are limited by their battery life, and the more apps you have running the faster the battery will run down. Tablets and cellphones are useless when they aren’t running, so a charger can be a lifesaver when your team’s equipment is low on charge.

As an added benefit, you’ll be able to help your customers who are desperate to get amazing pictures and don’t have the battery life to do so. Having chargers available to help your customers can make a world of difference in how they perceive your tour.

3. Offline Maps

Even if you know an area well, or have an app that gives you directions, you’ll still want offline maps available. Not all locations are internet accessible, and you don’t want to find yourself in an unfamiliar big city neighborhood without any way of getting home. An offline map will be there for you whether you don’t have internet access at all, or are simply subject to unpredictable roaming.

4. The Right Apps

That tablet and cellphone aren’t just useful for keeping notes and staying in contact. They can also give you an amazing array of different tools.

Tour booking software

Allows you to focus on customer support by freeing your office staff from spending their time arranging bookings, rescheduling, or taking payments. Instead, tour booking software can handle many of these things, plus give the customer the opportunity to book or reschedule outside office hours.

Translation software

In China, most people don’t speak English, and nothing is even written in English. A good translation software can help smooth things over, allowing you to read and communicate in other languages with just your phone for help.

Safety apps

A weather app, as well as local news app are important features every phone or tablet should be equipped with. Weather apps can inform you if it will be too dangerous or unpleasant to continue the tour (such as a storm for a boating trip) and local news could inform you of dangerous situations in the area. Don’t allow your customers to walk into a dangerous situation, use these tools to be aware at all times.

When new customers are looking at your tour website, they may have trouble deciding whether to book or not just based on a few pictures. Having your tour guides wear GoPros can capture some of the best moments on a tour, so you can show potential customers some of the exciting things they might see.

Many of the gadgets we listed above aren’t necessary for your business, but these gadgets can make it easier and more pleasant for you and your customers. Give these 5 gadgets a try, and enjoy the benefits they offer your company. For more information, visit Tourtools at https://www.tourtools.com/

Finding the right tour guide system: We are providing an overview

Are systems only suitable for tours and guides 4 applications for tour guide systems which you have not thought of yet.

Museum tours, factory tours, tour guides and sightseeing tours: those are typical applications for a tour guide system. However, tour guide systems are always useful if a person has to maintain voice contact with one or more people - at least one-way. In other words, tour guide systems are basically suitable for far more scenarios than just museums and sightseeing. We have got four applications with a list of various devices and requirements. They can be included in your planning or be used for advice on planning PA systems.

  • Communication between coach and athlete
  • Translation at international conferences and lectures
  • Support in case of hearing loss
  • Wireless audio streaming

The fundamental question is simply which device for which requirement? This is how we are testing tour guide systems

Tour guide systems are suitable for versatile use: 4 applications scenarios

Customers often call us and roughly know for which scenario they need a solution. During the conversation it becomes clear that the customer does not really need a fixed installation or a traditional portable PA system . Instead, they need a tour guide system. Many installers and expert planners are often surprised because they have always underestimated the performance of a good tour guide system .

Many newcomers are surprised that some tour guide systems are capable of bidirectional communication.

It is also possible to use our tour guide systems for wireless communication with each other, instead of hand-held radios . Please find listed below 4 different application scenarios.

1. Tour guide systems for communication between coach and athlete

Trainers for equestrian sports are more frequently using tour guide systems. Trainers and students stay in contact via small wireless systems. This does not only work in equestrian sports but in all kinds of sports where the trainer has to observe and instruct the student from a distance. Another example would be track cycling. A trainer could also instruct an entire team with the transmitter of a tour guide system.

Please note the following:

If you are using a tour guide system in sports, you should be able to attach it to your belt or clothes or store it in your clothes. For this purpose, a lanyard is not practical because athletes move around a lot. You should also make sure that the athlete is able to operate the tour guide system almost blindfolded. Thus, the system should have large switches or potentiometers, i.e. it should be easy to operate, even with gloves on. Also pay attention to the operating range of the tour guide system. What is the maximum distance between athlete and coach?

2. Tour guide systems for translation at international conferences and lectures

At multilingual conferences, a tour guide system can transmit live translations to respective listeners.

The procedure will be as follows: the primary language at the conference will be German. The German speaker transmits his or her presentation in the normal way to the PA speakers in the hall using a microphone at the speaker's desk . International guests will become receivers of a tour guide system, the interpreter a transmitter .

Thus, translations can be done live and in a flexible way. This is because an interpreter can send the translation to any number of recipients via a tour guide system. The user is not linked to permanently installed PA technology and can pass on the transmitter and receiver as required. You can of course also use stationary transmitters as an alternative. The tour guide system attenuates the noise level in the room using headphones.

Please note: think about how many transmitters you need to use in parallel. Four transmitters and, therefore, four translators are often possible in the frequency range 863 MHz-865 MHz which is licence-free. However, it would be the maximum amount. If several speakers are using one tour guide system to transmit their speech during a discussion, a hand-held microphone may be useful. The presenter can pass this on to the next speaker more easily than a clip-on microphone or headset.

3. Support in case of hearing loss

A tour guide system supports people who need a different volume level during the PA application. In case some listeners have loss of hearing, a tour guide system can also help here. This can be in church or at lectures or conferences. You can use regular speakers for the main sound transmission and give a tour guide system to people with a hearing loss. People who need assistance can use the tour guide system to choose their own volume level, independent of the other listeners in the room.

If you need to implement a wireless PA system because the building is listed or cables are not an option, a tour guide system can be a useful alternative.

Please note the following: in case of hearing loss, a tour guide system can assist you in two ways. Firstly, through a louder speech transmission. Secondly, you could connect a portable induction loop to the tour guide system. This can simply be inserted into the jack connection of the tour guide's pocket receiver. The signal of the induction loop is transmitted directly to the T-coil of the hearing aid.

4. Tour guide systems for wireless audio streaming

The additional line input of some of the transmitters of our tour guide systems provides an additional option for application: wireless audio streaming and speech transmission to the PA system. One example is a mixer which is connected to active speakers. If cables have been forgotten or cabling is not possible, you can also use a tour guide system. The transmitter of the tour guide system is connected to the sound source, the receivers to the active speakers .

For this purpose, you should preferably use an analogue tour guide system due to the better sound. For a mono transmission, e.g. background music, one transmitter-receiver path is sufficient. For a stereo transmission, two transmitters and two receivers are required.

The fundamental question is simply which device for which requirement?

Analogue or digital tour guide systems, advantages of digital tour guide systems.

  • Digital tour guide systems are tap-proof .
  • Half-duplex or full-duplex: recipient can answer the guide and ask questions.

Advantages of analogue tour guide systems

  • The sound quality is often better. This can particularly make a difference with audio streaming.

We are testing, documenting, sending the device back, are testing again - the same applies to a tour guide system

By no means do we want to cover certain adjoining sectors and reduce our technology accordingly. We simply cannot and will not do that. Experienced technicians test every tour guide system in detail, just like Frank Kuhl does in the PA section. For this purpose, we have our own workshop.

We take the whole series apart, test the operating range and sound quality. We are testing the devices in real application scenarios and not just under laboratory conditions.

If the device passes these tests, it will be included in our product range, otherwise it will not. In addition to various technical measurement checks, we are also testing the following:

  • Is the operating range as specified by the manufacturer?
  • How is the noise behaviour?
  • How is the sound impression?
  • Especially with integrated rechargeable batteries: how long does it take to charge?
  • Do accessories meet their requirements?
  • Is the running time of the battery sufficient?
  • Is the device robust or will it break immediately if it falls down?
  • Is the device easy to use or very complicated?
  • How robust is the antenna?
  • Is the device service-friendly, can it still be repaired? Or is it irreparable if there is a small defect?

If you have questions about tour guide systems, our technical project management will be happy to help you with the selection or planning.

Tour Guide Systems: Everything You Need to Know

Tour guide systems are devices that enable tour guides to communicate with their audience during tours or presentations. They consist of a transmitter that the tour guide uses to transmit their voice and receivers that the audience members use to listen to the tour guide.

Tour guide systems are important because they allow tour guides to communicate more effectively with their audience, even in noisy or crowded environments. They can also help audience members to hear the tour guide more clearly, even if they are standing far away or have hearing impairments.

The market for tour guide systems is diverse and constantly evolving. There are many different types of tour guide systems available, each with its own unique features and benefits. Some of the most popular types of tour guide systems include radio, infrared, and digital systems.

Components of Tour Guide Systems

A typical tour guide system consists of the following components.

Transmitter

The transmitter is the device that broadcasts the audio signal from the tour guide to the receivers. It can be a handheld device or a stationary device that is connected to a microphone .

The receiver is the device that picks up the audio signal transmitted by the transmitter and converts it into a sound that can be heard by the user. It can be a handheld device, a belt pack, or a built-in device.

The headset is the device worn by the user that delivers the audio signal from the receiver to the user’s ears. Headsets can come in various styles such as earbuds, over-ear headphones, or bone-conduction headphones.

The microphone is the device used by the tour guide to capture their voice and transmit it to the transmitter. It can be a lapel microphone, headset microphone, or handheld microphone.

Tour guide systems are typically battery-powered. Both the transmitter and receiver require batteries to operate. Rechargeable batteries are commonly used to minimize the need for replacement.

Charging stations

To recharge the batteries, a charging station is necessary. Charging stations can vary in size and capacity depending on the number of devices that need to be charged.

Storage case

A storage case is used to transport and store the tour guide system components when not in use. The case can protect the devices from damage and make it easy to keep track of them.

Why Are Tour Guides Systems Important

Tour guide systems are an invaluable tool for companies that need to give tours in noisy environments. By providing tour members with the capability to easily understand and follow a guided experience, it creates newfound freedom of exploration while offering more inclusive options such as language interpretation or accommodations for hearing-impaired individuals.

With this technology, companies can deliver immersive experiences through vibrant factory floors without having their messages lost amidst background noise.

The Process of Using Tour Guide Systems

Using a tour guide system is relatively straightforward. Here is the step-by-step process of how it works.

It is essential for tour guides to ensure that their equipment is up and running before the event. An audio test should be conducted with a partner present, allowing everyone on the subsequent tour to benefit from clear sound definition during commentary through headphones connected to microphone transmitters.

Properly preparing your system puts you in good stead ahead of its use – no one wants any unwelcome surprises along the way.

Second Step

As the event commences, ensure that all your guests are set up for success by asking if their headphones work through a simple hand raise. Attend those who might require an interpretation system before you carry on with the experience; it is essential for everyone’s comfort and enjoyment of this journey.

Make sure that your communication remains as sharp as possible throughout – speaking clearly into your microphone will go a long way in helping each guest gain maximum satisfaction.

Once you have concluded your event, be sure to collect all headphones and place the tech systems into their respective charging or storage cases. Give each piece a gentle wipe-down with an absorbent microfiber cloth; it will help keep dust and germs away while ensuring your devices are ready for the next event.

Don’t forget to plug them in – they’re no good without power.

Frequently Asked Questions

What is the difference between one-way and two-way tour guide systems ?

One-way tour guide systems are typically used to provide audio information to a group of visitors. This type of system works by broadcasting audio from the tour guide (typically through a microphone) to the receivers, which all visitors carry with them and listen on.

The advantage of this system is that it allows for more natural interaction between the tour guide and the visitors, as it allows the tour guide to move around freely while still providing informative audio.

Two-way tour guide systems, on the other hand, involve both transmitting and receiving information between tour guides and visitors. This type of system generally requires that all visitors have access to a microphone or headset in order to communicate back with the tour guide.

This type of system is useful when visitors need to ask questions, respond to prompts given by the tour guide, or provide feedback during the course of a tour. The advantage of this type of system is that it allows for more interactive tours, which can be beneficial in terms of visitor engagement and learning.

Can tour guide systems be used in noisy environments?

Yes, tour guide systems can be used in noisy environments. They use digital signal processing technology to filter out background noise and amplify voices so that even over the din of a crowded room or busy street, the audio is crystal clear.

How many people can a tour guide system support?

The actual number of people a tour guide system can support will depend on the type of system, the size, and the layout of the space, as well as any other special requirements.

How do I test the tour guide system before the tour?

The tour guide system should be tested to ensure that it is working properly. Check if microphones are connected, audio is functioning correctly, and other technical aspects of the system are working. You should also use the system to practice giving your tour and make sure that it is running smoothly from start to finish.

Additionally, you may want to ask a few people to try out the tour guide system while you observe how the setup works in order to gain confidence in its capabilities.

Finally, if possible, you may want to test the system with a mock tour to ensure that the audio and visual components are working properly.

This will give you a better idea of how the system will work for your actual tour and address any potential issues before it is too late.

A Complete Bike Touring Gear Guide and Kit List

Bike touring gear

If you’re planning your very first cycle touring trip, the thought of packing may seem daunting. What bike should you bring? What’s all this gear you need? How will you carry it all?

Everything listed below is what I took with me on my London to Istanbul tour. It saw me comfortably for those three months across Europe and fit into two front and two rear bike panniers.

At its heart, bike touring is all about minimalism and simplicity. The mantra of “it’s better to have it and not need it” is not the way to go. You need to be selective with what you bring as you’re the one who must grind the weight of your luggage up those hills! I learnt this the hard way, and so have omitted some non-essentials that I took with me from this bike touring gear guide.

Arguably, you don’t need half the stuff I’m going to mention, but it’ll certainly make your journey more comfortable. So without further ado, here’s my complete bike touring gear guide and packing list!

Bike Touring Gear Checklist

The bike itself (obviously)

Touring bikes are specifically designed for long-distance, weight-bearing cycling. They have a longer wheelbase than regular bikes, providing more stability and comfort while carrying a load, and have several attachment points for racks and bags.

When choosing a touring bike , you’ll want to think about the demands of your ride, such as the type of terrain you’ll be riding on, how much gear you’re planning to take, and how long your ride will be. The answers to these questions will ultimately affect which bike would be perfect for your tour.

That being said, you don’t necessarily need a touring bike. If you already own a lightweight yet sturdy bike that has rack mounts and the ability to carry your load, is comfortable, and has decent tyres, you’ll most likely be fine. I cycled from London to Istanbul using a hybrid from Trek , for example.

To be perfectly honest, a touring bike can be any bike. Or almost any bike, at least. It completely depends on the sort of ride you’ll be undertaking. If you’ll be going off-road or riding on gravel, you’ll want a bike with wider tyres. If you’re planning to stick exclusively to roads, then a sturdy road bike could work, though you’ll want wider tyres to accommodate your weight load and inevitable off-road detours.

If you’re planning to circumnavigate the world on your bike, a dedicated touring bike really is the best option.

I have a whole blog post on choosing a bike for your tour, if you’re keen to learn more.

Some good touring bike options include :

  • Fuji Touring
  • Cube Touring Bike
  • Trek 520 Disc
  • Ridgeback Panorama

Hybrids can also make good touring bikes:

  • Giant ToughRoad SLR 2
  • Cannondale Quick CX
  • Cannondale Quick Disc 3

Pannier racks

Choosing a pannier rack for your bicycle is about as exciting as watching paint dry, but strong racks are essential when preparing for a long-distance bicycle tour. You’ll be clipping your panniers and bike bags onto them so they need to be hard-wearing and capable of carrying your luggage.

Every bike is different and there are many variables to consider when choosing your racks:

  • Does your bike have disc brakes or rim brakes? Your rack might need extra clearance if you have disc brakes.
  • Does your bike have mounts to attach the back rack to, or will you need to use clips?
  • Does the rack give you plenty of heel clearance? Essential if you want to be able to pedal when the panniers are attached!

You’ll also want to consider the material your racks are made from:

  • Aluminium: very lightweight but less durable.
  • Chromoly: heavier than aluminium but durable and strong.
  • Steel: heavier than chromoly but very durable and can be welded if they break.
  • Titanium: lightweight but expensive.

Make sure to check your wheel size and dimensions to get the one best suited to your bike. If you don’t know much about bikes, I’d advise getting racks fitted at your local bicycle shop.

Panniers and bike bags

Panniers and bike bags are where you’re going to store all your gear, and they’ll sit on your pannier racks.

Ortlieb is one of the most popular pannier and bike bag brands as their bags are known for being waterproof and durable. That being said, Ortlieb isn’t the cheapest at £100+. You certainly don’t need to fork out for Ortliebs, but it’s worth getting good quality, waterproof panniers that will last.

If you’ll be camping on your tour, you’ll likely need front panniers as well as back panniers, because camping and cooking gear can take up a lot of space. If you’ll be staying in hotels or similar on your tour, you may be able to get away with only back panniers. It all depends on how much gear you’ll be carrying.

I currently use these back panniers from BTWIN and they serve me very well. They’re waterproof, durable and have plenty of space.

I also used some cheapo front panniers from Aldi which, quite frankly, sucked, and they broke very quickly. This is why it’s worth investing in some good-quality panniers.

Some great options for panniers include:

  • Ortlieb 40L Back Roller Classic
  • ELOPS 20L Waterproof Bike Bag
  • Thule Shield 25L Pannier Pair

Cycling at Melk Abbey, Switzerland

Don’t forget to bring a helmet, a bike lock, a repair kit and tail lights! You’ll also want to consider the tyres and saddle fitted to your bike.

Good quality tyres are key for a smooth ride. For bike touring, you want a tyre with high durability and puncture resistance to minimize your chances of having issues while you’re on the road. As a rule of thumb, a wider tyre generally makes for a more comfortable ride. A little bit of grip is helpful too so you can handle gravel and other off-road surfaces you might encounter. On the other hand, more volume and more grip mean a slower ride, so you want to find a balance that works for you.

The ideal saddle will vary from person to person, depending on your body geometry and what’s comfortable for your shape. Finding a comfortable saddle is essential though, as you’ll be sitting on it for hours each day!

Many cyclists swear by Brooks Saddles. When properly “broken in,” they mould to the shape of your butt and flex with your body’s movement. However, they can feel very hard and uncomfortable until they’re broken in, so you’ll need time to get used to it. As one Reddit user said: “they form nicely to your bum and begin to feel like a well-worn shoe, making them very comfortable.”

I personally found Brooks Saddles a bit too expensive, however, and opted for a more cushioned saddle with an anatomical cutout. Saddles with anatomical cutouts are great for women as they relieve pressure from our lady parts.

Bike repair kit

A flat tyre or two is inevitable on long-distance tours, so you’ll need to be prepared and able to deal with this. While most towns have bike shops to help with repairs, you’ll most likely ride long stretches between towns and don’t want to be caught out.

At the minimum, you’ll want to bring:

  • Spare inner tube(s)
  • Multi-tool for tightening anything that comes loose and for adjusting things

Camping gear

For bike touring camping gear, you can afford to carry a little more weight than you would if you were hiking, but it’s still best to keep the weight of your luggage as low as possible.

If you’re travelling in a duo, you’ll be able to share the load here. You only need one tent and one stove etc.

Here are some of the basics you’ll need for camping while bike touring:

Tent: You’ll want to pay close attention to the weight when choosing a tent. A lightweight tent like the Vango Banshee 200 works great for bike touring. Whatever you choose, make sure it’s quick and easy to pitch, too!

Sleeping bag: Sleeping bags can be large and bulky, so you’ll want to weigh up the size of the bag with the weather conditions of where you’ll be touring. A compact, lightweight sleeping bag like the Vango Ultralite Pro 200 would be perfect in the summer. If it’s going to be colder, you’ll need something heavier yet warmer.

Sleeping mat: I used and loved this  Forclaz mat  as it was comfortable, lightweight and easy to inflate, deflate and transport. It also came in a waterproof bag.

Travel pillow: I usually just fold up a jumper and use that as a pillow, but it would certainly be more comfortable to use an actual pillow! I will be using this inflatable pillow from Forclaz for my next bike tour.

Portable stove and gas cylinder: I love the MSR PocketRocket Ultralight Stove . Remember that you can’t fly with a gas cylinder, so you’ll have to pick one up at your destination if you’re flying to the start of your tour. Don’t forget matches or a lighter so you can light your stove!

Plates and cutlery: You can’t go wrong with the Sea to Summit Delta Camp Set .

Wild camping in Serbia

When packing for a bike touring trip, you’ll want to bring lots of layers and versatile pieces that work together. Remember that you can wash clothing by hand and laundromats may also be available, depending on where you’re touring. In Europe, every campground I stayed at had a sink so I could hand wash my clothes, and some had coin-operated washing machines, too.

You’ll no doubt have days off the bike to do some sightseeing, so it’s nice to bring non-cycling clothing as well. I personally wouldn’t want to walk around a city in my cycling pants!

Here is a list of recommended clothing for bike touring:

2 cycling shorts: You’ll want some good quality cycling pants/shorts with a padded backside, as these will be the most comfortable to ride in for hours each day.

4 tops: It’s a good idea to have your chest and shoulders covered when you’re outside for hours every day, so breathable t-shirts are probably your best bet.

Non-cycling pants/shorts: For lounging at camp in the evening and for sightseeing, it’s nice to have something a little looser so you’re not constantly wearing cycling shorts.

Long sleeve layer: A moisture-wicking long-sleeve layer is great for covering up your arms when you’re outside most of the day, or if the mornings are a little fresh.

Jumper/fleece: For when it gets chilly!

Waterproof jacket : Essential – it’s better to have a waterproof and not need it than to need it and not have it!

Gloves: Gloves will protect you from cold mornings and will also help prevent scraping up your hands in the case of a fall. Padded gloves also help to prevent cyclist palsy and carpal tunnel syndrome.

Hat: It’s a good idea to protect your face from the sun.

Sandals: Taking off your shoes at the end of a long day of cycling is a wonderful feeling, and it’s nice to slip into a pair of flip-flops or sandals while relaxing at camp.

Shoes: One pair of comfortable shoes that you can ride in, hike in, and spend a day sightseeing in.

5x underwear/socks: Depends on the length of your trip of course, but I’d bring a maximum of 5 pairs of each as you can always wash them.

Fun facts from our Moscow Metro Tours:

From the very first days of its existence, the Moscow Metro was the object of civil defense, used as a bomb shelter, and designed as a defense for a possible attack on the Soviet Union.

At a depth of 50 to 120 meters lies the second, the coded system of Metro-2 of Moscow subway, which is equipped with everything you need, from food storage to the nuclear button.

According to some sources, the total length of Metro-2 reaches over 150 kilometers.

The Museum was opened on Sportivnaya metro station on November 6, 1967. It features the most interesting models of trains and stations.

Coffee Ring

The first scheme of Moscow Metro looked like a bunch of separate lines. Listen to a myth about Joseph Stalin and the main brown line of Moscow Metro.

Zodiac Metro

According to some astrologers, each of the 12 stops of the Moscow Ring Line corresponds to a particular sign of the zodiac and divides the city into astrological sector.

Astrologers believe that being in a particular zadiac sector of Moscow for a long time, you attract certain energy and events into your life.

Paleontological finds

Red marble walls of some of the Metro stations hide in themselves petrified inhabitants of ancient seas. Try and find some!

  • Every day each car in  Moscow metro passes  more than 600 km, which is the distance from Moscow to St. Petersburg.
